Position Overview
We are seeking a Paralegal / Fact Witness Coordinator to provide litigation and witness-management support. This position will work closely with attorneys, fact witnesses, courts, investigative agencies, and other government personnel to coordinate witness appearances, travel, documentation, reimbursements, and other trial-related activities.
The ideal candidate will have prior litigation paralegal experience, strong organizational and communication skills, and the ability to manage sensitive, time-critical work in a fast-paced legal environment.
Education Requirements
Candidates must meet one of the following:
Substitution: One year of legal training/legal experience or at least two years of college education may be substituted for the paralegal certificate requirement.
Required Experience & Skills
Highly Preferred: Trial experience and automated litigation support experience.

Education Requirements
Candidates must meet one of the following:
- Paralegal certificate
- Juris Doctor (JD)
- Currently attending an ABA-accredited law school with at least one year of study completed
Substitution: One year of legal training/legal experience or at least two years of college education may be substituted for the paralegal certificate requirement.
Required Experience & Skills
- Minimum 1 year of litigation paralegal experience or relevant project experience
- Basic legal knowledge, including standard legal citation and the ability to cite-check legal motions and memoranda
- Experience using legal research tools such as LexisNexis and Westlaw to conduct basic legal research
- Strong written and verbal communication skills
- Proficiency with common computer applications, including:
- Word processing
- Spreadsheets
- Document review and file management databases
- Imaging systems
- General computer/hardware systems
- Word processing
- Basic familiarity with Client (Electronically Stored Information) tools
- Understanding of eDiscovery procedures and resources
- Ability to produce accurate, high-quality work under tight deadlines and significant pressure

Key Responsibilities
Fact Witness Coordination
- Provide witness-management assistance before, during, and after trials.
- Work directly with fact witnesses to coordinate appearances for court proceedings, pre-trial conferences, and grand jury proceedings.
- Communicate with witnesses regarding appearance dates and times, travel arrangements, court procedures, and expense reimbursement.
- Identify special circumstances or needs involving witnesses and escalate them to the appropriate attorney when necessary.
- Coordinate with attorneys regarding special witness situations, including international witnesses, military or federal employees, hostile witnesses, and witnesses requiring special authorization.
Travel & Reimbursement
- Arrange witness travel and lodging in accordance with client policies and procedures.
- Ensure witnesses receive all necessary travel documentation and appearance information prior to scheduled proceedings.
- Prepare and submit witness vouchers and other reimbursement documentation.
- Respond to inquiries regarding pending and completed witness reimbursements.
- Gather required documentation and reconcile Government Travel Accounts.
Legal & Administrative Support
- Coordinate with courts, Probation, Pretrial Services, the U.S. Marshals Service, investigative agencies, and other appropriate parties as needed.
- Prepare recurring legal and administrative documents in accordance with established formatting and procedural requirements.
- Draft routine correspondence using approved templates and appropriate legal terminology.
- Establish and maintain fact witness files, records, documents, and databases.
- Maintain calendars and/or databases of active and pending witness appearances when requested.
- Track hearings, trial dates, grand jury proceedings, scheduling conferences, and other important deadlines.
- Assemble and maintain witness-related documentation in accordance with established procedures and client requirements.
- Perform additional administrative and logistical witness-management duties as assigned.

- U.S. Citizenship is required.
- Public Trust clearance is required.
- Candidates may undergo a Security Fitness Assessment prior to final confirmation.
- Submitted candidates must be able to successfully complete the client's Public Trust clearance process.
