Clearance: Active Secret clearance required
We're on the hunt for a sharp, fast-moving, and driven Project Coordinator to serve as a PMO Administrative Support Specialist right at the Pentagon. This is the role for someone who thrives at the center of the action: you'll be the operational engine that keeps roughly 500 personnel onboarded, trained, cleared, and mission-ready. Your precision and initiative won't just keep a fast-paced program running- they'll keep the entire mission moving without missing a beat.
What You'll Do:
Personnel Onboarding & Offboarding. You'll own the full arc of the personnel journey-welcoming new team members with seamless onboarding across rosters, initial trainings, NDAs, and project access, then executing clean, compliant offboarding that covers access revocation, equipment turn-in, security debriefs, and exit documentation. You'll be the person who keeps accountability locked in for approximately 500 personnel across the DOW engagement.
Security & Access Management. You'll be the go-to force behind Common Access Card (CAC) issuance, renewal, and recovery, drive security clearances for applicable personnel, and stay on top of facility access requests across the Pentagon and supporting DOW locations-all while keeping NDA tracking and compliance records airtight for every participant.
Training & Compliance Tracking. You'll keep the entire engagement sharp and compliant-monitoring and reporting mandatory training completion, maintaining the training records database, and delivering the compliance reports leadership counts on. By orchestrating training events and certifications, you'll make sure every team member stays current on DOW and program requirements.
Data Management & Reporting. You'll be the single source of truth-maintaining Smartsheet rosters, personnel databases, and org charts while producing the routine and ad hoc reports that keep leadership ahead of the curve. Your work will fuel accurate data for skills-to-problem alignment and dynamic resource allocation, along with rock-solid document control and version management for PMO artifacts.
General PMO Support. You'll be the backbone of PMO leadership-coordinating meeting logistics, scheduling, and calendars; staying ahead of correspondence, task tracking, and action-item follow-up; keeping physical and digital filing systems razor-sharp; and smoothing the way on travel coordination and expense processing.

Salary Range
The proposed salary range is reflective across all Sherpa 6 locations, years of experience, and skill levels. Salary negotiations will be based on a host of factors including but not limited to your geographic location, prior experience, relevant skills, education, and certifications.

Requirements
- Active Secret security clearance
- Bachelor's degree in Business Administration, Management, Information Technology, or a related field (or equivalent combination of education and relevant experience).
- Minimum of 3-5 years of experience supporting project coordination, project management, or program/PMO support functions, preferably within a federal or Department of War (DoW) environment.
- Demonstrated experience tracking project schedules, milestones, deliverables, and action items across multiple concurrent efforts.
- Experience managing end-to-end personnel onboarding and offboarding, including roster maintenance, initial trainings, NDA distribution, access provisioning/revocation, equipment turn-in, and exit documentation.
- Experience maintaining accountability for large personnel populations (e.g., several hundred personnel) within a program or engagement.
- Experience supporting contract deliverables, status reporting, and documentation in accordance with contractual requirements.
- Experience coordinating cross-functional teams, subcontractors, and stakeholders.
- Working knowledge of DoW security and access procedures, including Common Access Card (CAC) issuance, renewal, and recovery.
- Strong organizational and time-management skills, with the ability to prioritize and manage competing deadlines.
- Excellent written and verbal communication skills, including the ability to prepare status reports, meeting minutes, and briefings.
- Effective interpersonal and coordination skills for working with government customers, teammates, and vendors.
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
- Experience providing day-to-day administrative support to PMO leadership, including meeting logistics, calendar management, correspondence, task tracking, filing systems, and travel/expense coordination.

- DoW support experience
- Project management certification preferred (e.g., CAPM, PMP, or equivalent)
