Summary
The Flight Operations Scheduling Coordinator supports the 25th Operations Support Squadron (25 OSS) by coordinating flight schedules, training events, and operational planning for aircrew. This position manages both live and virtual training events, coordinates with military organizations and external agencies, and ensures aircrew training requirements are accurately scheduled and tracked.
The ideal candidate is highly organized, experienced in military aviation operations or scheduling, and capable of managing multiple priorities while maintaining accurate records and supporting mission readiness.
Essential Duties and Responsibilities
The successful candidate will:
- Coordinate live and virtual training events for operational aircrew, including Distributed Mission Operations (DMO) exercises.
- Manage scheduling between Operations Support Squadron personnel and supported flying squadrons to ensure training and flight requirements are met.
- Coordinate with military organizations, range managers, host nation representatives, and exercise partners to support successful training events.
- Assist with Memorandums of Agreement (MOAs), FAA flight certification requirements, and other documentation required for aircraft operations.
- Coordinate airspace reservations and resolve scheduling conflicts to ensure required training areas are available before scheduled exercises.
- Coordinate Ground Control Station (GCS) support, aircraft configuration requirements, equipment load-outs, and other operational support activities with maintenance and support organizations.
- Maintain and distribute classified and unclassified scheduling information using approved government systems.
- Ensure flight schedules remain current and accessible during normal operations and periods when the scheduling office is unattended.
- Enter, update, and maintain scheduling and training data within Patriot Excalibur (PEX), Microsoft Access, Microsoft Excel, and other approved scheduling systems.
- Monitor personnel availability, including leave, temporary duty (TDY), medical appointments, and other scheduling commitments.
- Identify and resolve scheduling conflicts to ensure adequate staffing for operational missions and training events.
- Track daily flight, ground, simulator, and academic training requirements and document training accomplishments.
- Coordinate with Training Offices, Squadron Aviation Resource Management (SARM), and Standardization and Evaluation (Stan/Eval) personnel to support qualification, upgrade, and continuation training programs.
- Schedule simulator events for mission qualification, upgrade training, continuation training, and emergency procedures.
- Assist in maintaining the annual flying hour program and provide recurring updates in accordance with Air Force guidance.
- Prepare reports, maintain accurate scheduling records, and provide administrative support for flight operations and training activities.
Required Qualifications
The successful candidate will possess:
- Experience supporting military aviation operations, flight scheduling, training coordination, or aviation administration.
- Secret Clearance
- Knowledge of military flight operations, aircrew scheduling, and training management processes.
- Experience coordinating multiple schedules while balancing changing operational priorities.
- Strong organizational and time management skills with exceptional attention to detail.
- Ability to coordinate effectively with military personnel, leadership, and external organizations.
- Excellent written and verbal communication skills.
- Advanced proficiency with Microsoft Office, particularly Microsoft Excel, including formulas, tables, sorting, filtering, and data management.
- Experience using Microsoft Access or similar database applications.
- Experience entering and maintaining scheduling or operational data within automated systems.
- Ability to work independently while managing multiple competing priorities in a fast-paced operational environment.
Preferred Qualifications
- Experience using Patriot Excalibur (PEX) or comparable military flight scheduling software.
- Familiarity with Distributed Mission Operations (DMO) planning and execution.
- Experience working with Squadron Aviation Resource Management (SARM) and Standardization and Evaluation (Stan/Eval) organizations.
- Knowledge of military airspace scheduling, flying hour programs, and Air Force aviation operations.
- Previous experience supporting U.S. Air Force flight operations, training programs, or aviation scheduling offices.
