The Executive Assistant provides high-level administrative and business management support to an executive within the organization. This role requires exceptional organizational, communication, and multitasking skills, as well as the ability to handle sensitive and confidential information with discretion. The Executive Assistant serves as the primary point of contact for internal and external stakeholders, ensuring the efficient coordination of the executive's activities and office operations.

Key Responsibilities
  • Provide advanced administrative support to HSL Sector executives, including managing calendars, scheduling meetings, and preparing correspondence.
  • Coordinate corporate meetings chaired by the executives, including logistics, agendas, materials, and minutes.
  • Manage day-to-day administrative and logistical details associated with the executive's office operations.
  • Screen visitors, calls, and correspondence; handle inquiries or issues not requiring the executive's attention.
  • Prepare and maintain reports, spreadsheets, and presentations to support executive decision-making and data analysis.
  • Arrange travel logistics, including itineraries, agendas, travel advances, and expense reports.
  • Attend designated meetings and conferences; record and distribute meeting minutes and follow-up actions.
  • Ensure compliance with organizational policies, confidentiality standards, and administrative procedures.
  • May train, coordinate, or supervise other administrative staff in support of departmental objectives.
  • Maintain professional relationships with internal teams, external partners, and key stakeholders.



Required Qualifications
  • U.S. Citizenship required.
  • Ability to obtain and maintain a Public Trust clearance.
  • High school diploma or equivalent; additional specialized training or college coursework preferred.
  • Minimum of five (5) years of progressively responsible administrative experience supporting senior-level executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant business tools.
  • Strong written and verbal communication skills.
  • Demonstrated ability to handle confidential information with discretion.
  • Exceptional organization, prioritization, and time management skills.
  • Proven ability to work independently and manage multiple tasks in a fast-paced environment.
Preferred Qualifications
  • Experience supporting federal or government executives or programs.
  • Training or certification in administrative management or executive support.



Target Salary Range: $66,000 - $106,000. This represents the typical salary range for this position. Salary is determined by various factors, including but not limited to, the scope and responsibilities of the position, the individual's experience, education, knowledge, skills, and competencies, as well as geographic location and business and contract considerations. Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay.
