Job Description



Vistra is seeking an Event and Meeting Coordinator to support planning, coordination, day-of execution, and follow-on logistics for events related to suicide prevention and response in the military, including roundtables, internal government meetings and working groups. This role will have some dedicated focus to the planning and execution of roundtables and some communication and planning between DSPO, Chaplain communities, and other DoW stakeholders to strengthen collaboration around suicide prevention efforts.

While this role is primarily remote, applicants must be based in the DC metropolitan area. This role will require on-site meeting and event attendance at locations around the National Capitol Region.

Responsibilities include:
  • Support planning and logistics for roundtables, coordinating speakers, materials, educational and outreach materials, and event branding to ensure seamless execution. 
  • Assist with agenda development, communications, and on-site support to deliver high-quality, well-organized events. 



Requirements


  • Bachelor’s degree and three to five years of directly related experience
  • Experience supporting logistics and coordination for meetings and events, including calendar management and note taking. 
  • Experience coordinating event materials, signage, and on-site logistics
  • Experience maintaining timelines and day-of-event documentation
  • Experience supporting agenda development and attendee communications.
  • Ability to manage scheduling, task tracking, and communication among internal and external stakeholders.
  • Ability to manage multiple priorities under tight deadlines with precision and expert attention to detail
  • Ability to provide day-of-event support, including registration, set-up, and troubleshooting
  • Ability to obtain a Secret Clearance

Additional Preferred Qualifications:
  • Experience working with government or large organizational clients
  • Experience using event coordination tools (e.g., Teams, SharePoint)
  • Ability to assist with event communications, presentations, and follow-up documentation
  • Interest in learning event design, creative direction, or audience engagement strategies.
