PeopleTec is currently seeking a Operations and Administrator Officer to support our Picatinny Arsenal, New Jersey location.

We are seeking an experienced and highly organized Operations and Administrative Officer to support the Light Artillery Systems (LAS) Product Office within Project Manager Howitzer Systems (PM HS) at Picatinny Arsenal, New Jersey. This position serves as a key member of the Product Office staff, providing a combination of operations, administrative, and executive support functions to enable efficient execution of program priorities and day-to-day business operations. The selected candidate will support Product Office leadership by coordinating staff actions, managing taskers, synchronizing schedules and events, preparing executive-level correspondence and briefings, providing general administrative support, providing general operations support, and facilitating communication across internal and external stakeholders. The ideal candidate will possess experience supporting Army or Department of War (DoW) acquisition organizations and demonstrate the ability to independently manage administrative and operational activities in support of a fast-paced and dynamic Product Office environment. This role requires strong organizational, communication, and analytical skills, with the ability to balance multiple priorities while serving as a trusted integrator across the Product Office.

Duties:
  • Collaborate with PM Howitzer Systems O5 and O6 Level Operation Officers to complete all task descriptions herein.
  • Provide administrative support to Product Office leadership, including calendar management, meeting scheduling, travel coordination, and visitor support.
  • Serve as a coordinator for Product Office operations, ensuring actions, taskers, and leadership priorities are tracked through completion.
  • Maintain internal task management systems and action trackers; analyze, filter, assign, monitor, and follow up on suspense items.
  • Coordinate and synchronize Product Office meetings, Integrated Product Team (IPT) sessions, leadership reviews, working groups, and special events.
  • Prepare agendas, meeting minutes, read-ahead packages, action item trackers, and after-action summaries.
  • Draft, review, and coordinate correspondence, information papers, briefing materials, staffing packages, and executive communications.
  • Maintain Product Office calendars and identify scheduling conflicts, recommending solutions and prioritization options to leadership.
  • Support preparation and consolidation of recurring reports, data calls, metrics, and status updates.
  • Coordinate responses to Requests for Information (RFIs), taskers, and higher headquarters actions.
  • Manage office records, files, correspondence, and documentation in accordance with Army and organizational requirements.
  • Support onboarding activities for government and contractor personnel, including facility access, workspace coordination, and administrative requirements.
  • Coordinate conferences, site visits, leadership engagements, and other special events.
  • Assist in maintaining office standard operating procedures (SOPs), continuity books, trackers, and administrative processes. Help track personnel administrative actions such as training completion status, timesheet completion, and personnel hiring actions.
  • Assist in general operations activities such as office supplies and Information Technology equipment ordering, event announcements, and office supplies monitoring.
  • Analyze administrative and operational processes and recommend improvements to increase efficiency and effectiveness.
  • Collaborate with government personnel, contractors, functional staff, and external stakeholders to facilitate successful program execution.




Required Skills/Experience :
  • 8-10+ years of relevant experience in operations, administrative management, executive support, program support, or a related field.
  • Relevant experience supporting Army, DoD, or Federal Government organizations in operations, administrative management, executive support, program support, or related functions.
  • Experience supporting senior leaders within Program Executive Office (PEO), Project Manager (PM), Product Manager (PdM), headquarters staff, Development Command (DEVCOM) or comparable organizations.
  • Demonstrated ability to manage multiple competing priorities, taskers, and suspense requirements in a fast-paced environment.
  • Experience preparing executive correspondence, briefing materials, meeting packages, reports, and other leadership products.
  • Experience working in a fast-paced organization requiring expedited responsiveness supporting Army Senior Leadership requests.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, Teams, and SharePoint.
  • Ability to operate independently with minimal supervision while exercising sound judgment and discretion.
  • Strong attention to detail and commitment to quality.
  • Must have a current driver's license.
  • Travel: Up to 10%.
  • Must be a U.S. Citizen.
  • Active U.S. DoD Secret clearance required.

Education Requirements :
  • Bachelor's degree from an accredited college or university in Business Administration, Management, Communications, Public Administration, Organizational Leadership, or a related field.

Desired Skills :
  • Experience using Defense Travel System (DTS) and coordinating official travel for senior government personnel.
  • Experience using MeSpace, TEDS, or applicable personnel records, training, and documentation processing systems.
  • Familiarity with Army acquisition processes, milestone reviews, and acquisition lifecycle activities.
  • Experience coordinating executive engagements, site visits, General Officer/SES visits, conferences, and special events.
  • Working knowledge of Army task management systems, staff action processes, and staffing packages.
  • Experience developing and maintaining Standard Operating Procedures (SOPs), continuity books, and organizational business processes.
  • Experience supporting budget tracking, resource management, or program planning activities.
  • Knowledge of Army organizations and stakeholders associated with the acquisition community, including Portfolio Acquisition Executives (PAE), Portfolio Management Executives (PME), Program Executive Offices, Project Managers, Product Managers, and supporting functional organizations.
