Job Description



The MA III position provides comprehensive professional administrative and operational support to the directorate, encompassing personnel onboarding/offboarding, records management, staff accountability tracking, HR/workforce support, GAO case coordination, and executive-level reporting. This role requires strong organizational skills, proficiency in the Microsoft Office Suite (with advanced skills in Excel and PowerPoint), strong human resources experience, familiarity with travel and personnel systems, excellent professional written communication, and sound critical and analytical thinking. The ideal candidate is a professional, collaborative team player capable of working independently with minimal supervision. The incumbent serves as a key point of continuity for administrative, HR, and reporting functions across the directorate.

Duties Assigned

1. Onboarding/Offboarding
  • Prepares and distributes weekly status emails to program managers regarding onboarding and offboarding actions.
  • Assembles welcome binders for new hires and distributes welcome letters and emails in a timely manner.

2. Records Management
  • Allocates and manages physical storage space for directorate records.
  • Enforces records retention schedules in accordance with applicable policy.
  • Maintain records in a manner that enables efficient retrieval to support audits and investigations.

3. Staff Accountability
  • Tracks staff accountability, including monitoring in-office presence and maintaining records of personnel on temporary duty (TDY) status.

4. HR/Workforce Support
  • Provides backup support to the Workforce Planning Specialist, as needed, assisting with human resources and workforce planning tasks to ensure uninterrupted administrative operations.
  • Applies HR experience to support recruitment coordination, onboarding/offboarding processes, and general workforce administration.
  • Utilizes experience with travel systems such as E2, the Defense Travel System (DTS), or similar travel management platforms to support TDY coordination and travel-related administrative tasks.
  • Applies experience with HRIS or similar personnel management systems to support workforce data management and reporting.

5. Executive-Level Reporting
  • Produces data visualizations and executive-level reports for directorate leadership using Excel and PowerPoint.

6. DDTC and DTCM Weekly Status Report Facilitation
  • Sends weekly email reminders to team leads regarding reporting deadlines.
  • Verifies that all submitted information is entered in the correct format.
  • Coordinates with the Director to incorporate edits and feedback and obtains final clearance prior to distribution.

7. GAO Case Tracking and Coordination
  • Tracks Government Accountability Office (GAO) cases from initiation through closure, maintaining accurate records of case status, deadlines, and required actions.
  • Prepares documents and supporting materials for DTCM Director review and Deputy Assistant Secretary (DAS) approval.
  • Coordinates with Office Directors and the PM Bureau GAO Coordinator on case status updates, requests for information, response drafting, and submission timelines.
  • Ensures all GAO-related correspondence and documentation meet required formatting and clearance standards prior to submission.

8. Ad Hoc Requests
  • Performs additional administrative and operational tasks as assigned by directorate leadership.




  • Proficiency in the Microsoft Office Suite, including advanced skills in Excel (data analysis, visualization) and PowerPoint (executive-level presentation development).
  • Strong human resources experience, with familiarity in workforce planning, onboarding/offboarding, and general HR administration.
  • Experience with travel systems such as E2, the Defense Travel System (DTS), or similar travel management platforms.
  • Experience with HRIS or similar personnel management systems.
  • Experience tracking case management or compliance-related documentation (e.g., GAO cases, audits, or similar oversight processes) preferred.
  • Excellent professional written communication skills.
  • Strong critical and analytical thinking abilities.
  • Demonstrated organizational skills and ability to manage multiple concurrent priorities.
  • Professional demeanor, with the ability to work collaboratively as part of a team while also functioning effectively with minimal supervision.
