The National Intelligence Division within MITRE's Intelligence Center is seeking a Department Project Administrator, Senior to provide administrative, coordination, and operational support to Department Managers, Intelligence Community (IC) Project Leaders, and project teams supporting the IC.
The Department Project Administrator serves as a key member of the department support team, helping coordinate day-to-day administrative activities, sponsor engagements, project logistics, and departmental operations. This role supports successful execution across multiple projects by assisting with scheduling, meeting coordination, travel arrangements, visitor support, action-item tracking, onboarding activities, and other administrative functions that enable project and department success.
The position reports directly to the Operations and Integration Group Leader.

- Assist Project Leaders and project teams with administrative aspects of project execution, including meeting scheduling, documentation support, and coordination of routine project activities.
- Coordinate meetings, calendars, conference rooms, and logistics for Department Managers, Project Leaders, and project teams.
- Support sponsor engagements by assisting with the coordination of meetings, briefings, visits, demonstrations, and events hosted at MITRE.
- Assist with visitor processing, facility reservations, security coordination, and meeting logistics associated with sponsor engagements.
- Track action items, meeting outcomes, and administrative follow-up activities in support of projects and department operations.
- Provide administrative support for department activities, including staff meetings, workshops, training events, recognition activities, and team events.
- Assist with staff onboarding, access requests, workspace coordination, and related SCIF administrative processes.
- Support travel planning, expense reporting, and coordination activities in accordance with MITRE policies and procedures.
- Maintain department records, distribution lists, organizational documentation, and other administrative materials.
- Coordinate with Administrators, Project Leaders, security personnel, facilities staff, and other enabling organizations to support efficient operations.
- Handle sensitive information with professionalism, discretion, and sound judgment.
- Support continuous improvement of administrative processes and documentation practices.
- Typically requires a minimum of 5 years of related experience with a Bachelor's degree; or 3 years and a Master's degree; or a PhD with relevant experience who can immediately contribute at this job step; or equivalent combination of related education and work experience.
- Active TS/SCI with current CI Polygraph.
- Demonstrated experience providing administrative, project support, office management, or coordination support in a professional environment.
- Strong organizational and time-management skills with the ability to manage multiple tasks and competing priorities.
- Experience coordinating meetings, schedules, events, travel, or other administrative activities.
- Strong written and verbal communication skills.
- Ability to work effectively with project teams, sponsors, and internal stakeholders.
- Attention to detail and ability to handle sensitive information appropriately.
- Active TS/SCI with a current polygraph.
- Per the U.S. Government's eligibility requirements for a clearance, U.S Citizenship is required
- This position has an on-site requirement of 5 days a week on-site
- Experience supporting Intelligence Community, national security, or federal government programs.
- Experience supporting Project Leaders, project teams, or organizational leadership.
- Familiarity with MITRE administrative systems and processes, including Workday, Concur, and related tools.
- Experience coordinating sponsor visits, meetings, briefings, or events.
- Experience working in a fast-paced, matrixed organization supporting multiple stakeholders.
