Location: Brooklyn VA Medical Center, Brooklyn, NY
Employment Type: Full-Time | On-Site
Reports To: Project Operations Supervisor

Position Summary

MILVETS Systems Technology, Inc. is seeking a highly organized Project Operations Coordinator to provide administrative, payroll, compliance, and document control support for the Brooklyn VA Electronic Health Record Modernization (EHRM) Infrastructure Upgrades Project.

This role supports project leadership by coordinating payroll, certified payroll, Davis-Bacon compliance, employee onboarding, reimbursements, document control, General Contractor submissions, and daily project administration. The ideal candidate is detail-oriented, proficient with Microsoft Office 365, and experienced in supporting construction or government projects with multiple deadlines.

Key Responsibilities
  • Provide daily administrative support for project management and field operations.
  • Process employee timesheets, payroll information, and reimbursement requests.
  • Prepare and maintain certified payroll documentation and Davis-Bacon compliance records.
  • Coordinate employee onboarding, badging, training records, and personnel documentation.
  • Organize and maintain electronic and hard-copy project files.
  • Track daily reports, inspections, testing records, meeting minutes, and project correspondence.
  • Prepare and submit required documentation to the General Contractor.
  • Maintain document logs, transmittals, and project records.
  • Coordinate meetings, calendars, agendas, and meeting minutes.
  • Create and maintain spreadsheets, reports, payroll logs, and tracking documents.
  • Support payroll audits, compliance reviews, and project closeout documentation.
  • Communicate professionally with project staff, subcontractors, vendors, and government representatives.
  • Protect confidential employee, payroll, financial, and project information.


Required Qualifications
  • Experience in project coordination, administrative support, payroll, office administration, or construction administration.
  • Strong proficiency with Microsoft Office 365 (Word, Excel, Outlook, Teams, SharePoint, and OneDrive).
  • Experience maintaining spreadsheets, reports, and document control systems.
  • Strong organizational, communication, and time-management skills.
  • High level of accuracy and attention to detail.
  • Ability to manage multiple priorities and meet strict deadlines.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to obtain OSHA 10-Hour Construction Safety Certification upon hire.
  • Ability to pass federal background screening and obtain access to a VA medical facility.
  • Reliable transportation and dependable attendance.


Preferred Qualifications
  • 5–10 years of administrative, payroll, accounting support, or project coordination experience.
  • Experience supporting construction projects.
  • Experience with Davis-Bacon wage compliance and certified payroll reporting.
  • Experience processing payroll and employee reimbursements.
  • Experience working with General Contractors and subcontractors.
  • Experience using construction management or document control software.
  • Experience supporting Department of Veterans Affairs (VA) or other federal construction projects.
  • Familiarity with construction drawings, RFIs, submittals, schedules, and daily reports.
  • Notary Public commission or First Aid/CPR certification is a plus.

  • Ability to work occasional nights, weekends, or extended hours as project needs require
