Job Description
Delaware Nation Industries is currently looking for a Physical Security Clerk to assist with routine administrative account matters in the Point Mugu area.
The PHYSEC Clerk provides routine clerical, records-management, data-entry, scheduling, inventory, and customer-service support to an established physical security program. The employee follows approved procedures and works under the direction of a Physical Security Specialist, supervisor, or designated Government representative. The position supports the administrative safeguarding of facilities, property, security equipment, keys, locks, credentials, records, and controlled areas; it does not perform law-enforcement, guard, patrol, or force-protection functions.
Schedule:
- 9-hour shift
- Monday-Thursday 6:30A-4:30P, Friday 6:30A-4:30P, every other Friday off
Responsibilities:
- Receive, review for completeness, log, route, track, and file routine physical security requests, forms, correspondence, work orders, inspection records, and supporting documentation.
- Enter and update authorized information in physical security databases, spreadsheets, SharePoint sites, visitor-control, restricted-area badging, key-control, or other approved systems; generate routine status reports and metrics.
- Maintain organized electronic and hard-copy files in accordance with records-management, privacy, safeguarding, and disposition requirements.
- Provide courteous administrative assistance to employees, contractors, customers, and authorized visitors by explaining established submission requirements, appointment processes, form-completion steps, and request status.
- Schedule appointments, inspections, meetings, equipment testing, and other physical security program activities; prepare agendas, rosters, checklists, notices, and follow-up correspondence.
- Support lock and key control by maintaining issue/return records, authorization documentation, inventories, receipts, discrepancy logs, and annual reconciliation records in accordance with approved procedures.
- Support administrative control of badges, access credentials, restricted-area requests, and access lists by reviewing packages for required information, routing them for approval, recording approved actions, and maintaining auditable files. The Clerk does not independently approve, deny, suspend, or revoke access unless specifically authorized in writing and permitted by governing procedures.
- Assist qualified personnel with scheduled facility, secure-room, security-container, and program inspections by preparing checklists, recording observations, collecting documentation, tracking corrective actions, and maintaining inspection files.
- Verify the administrative presence and completion of required forms and logs, such as security-container information, container check sheets, end-of-day checklists, key inventories, and related locally prescribed records.
- Support Intrusion Detection System and access-control system administrative activities by maintaining account or zone records, scheduling authorized testing or service, documenting results provided by qualified personnel, opening work orders, and tracking corrective action. The Clerk does not install, repair, certify, or tactically respond to security systems.
- Maintain inventories and accountability records for security-related equipment, supplies, forms, locks, keys, and containers; report discrepancies through the established chain.
- Prepare routine reports, presentations, correspondence, training rosters, briefing materials, and program metrics using Microsoft Office and other approved applications.
- Protect sensitive, controlled, privacy, and classified information encountered in the course of assigned duties and immediately report suspected loss, compromise, unauthorized access, or other security concerns to the designated security official.
- Refer policy interpretations, unusual conditions, access determinations, suspected violations, vulnerabilities, and matters requiring professional judgment to a Physical Security Specialist or supervisor.
- Perform other related clerical and administrative physical security duties within the scope of the position.
- Active secret security clearance
- Working knowledge of clerical office practices, document control, filing, data entry, scheduling, customer service, and records management.
- Proficiency with Microsoft Windows and Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Ability to learn approved specialized applications, which may include DISS, NAVAIR SharePoint, Visitor Control System (VCS), Foreign Visit System (FVS), Restricted Area Badging System (RABS), and locally used physical security systems.
- Ability to accurately follow written procedures, maintain audit-ready records, recognize incomplete or inconsistent information, and elevate matters outside established guidance.
- Professional oral and written communication skills and the ability to interact tactfully with personnel at varying organizational levels.
- Ability to manage multiple routine assignments, protect sensitive information, meet deadlines, and maintain attention to detail.
