Job Description

Valiant is looking for a Conference Support Specialist to join our team!

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Manage day-to-day scheduling and operation of conference room systems for staff, leadership, and exercise events.
  • Provide dedicated facilitation and technical assistance for users, with priority support for senior leadership and Director-level staff.
  • Operate AV equipment for secure and non-secure sessions, conferences, and briefings.
  • Provide end-user training on conference room equipment.
  • Work directly with Exercise Planning Teams to identify, define, and document IT and conferencing requirements in support of USAFE exercises.
  • Advise Exercise Planning Teams on procurement solutions for IT and conferencing equipment/services needed to support exercise objectives.
  • Maintain familiarity with DoD Exercise Models & Simulations (M&S) systems and their application within joint and coalition exercise environments.
  • Advise on best practices for integrating M&S capabilities into the USAFE Exercise Program, coordinating with exercise stakeholders to align IT/conferencing support with simulation and training objectives.
  • Participate in exercise planning conferences (e.g., IPCs, MPCs, FPCs) as the IT/conferencing subject matter point of contact.
  • Maintain the conference room scheduling portal and booking systems.
  • Maintain accurate records of conference room utilization and provide reporting on trends as requested.
  • Adhere to and recommend updates to local Standard Operating Procedures (SOPs) for conference and exercise support.
  • Coordinate with remote sites, coalition partners, and external organizations to enable multi-site exercise connectivity.
  • Serve as the primary point of contact for conference and exercise-related IT support requests.
  • Liaise between end users, exercise planners, and technical/engineering teams to relay requirements and resolve issues.
  • Maintain a professional, customer-focused presence when supporting senior leadership and high-visibility events.
  • Other duties as assigned.




CLEARANCE REQUIREMENT: Active TS

EDUCATION REQUIREMENT:
  • Bachelor's degree in a related field, or
  • Equivalent combination of education, training, and experience in IT support, conference/AV operations, or exercise support.

REQUIRED QUALIFICATIONS:
  • Working familiarity with DoD exercise planning processes and Models & Simulations (M&S) systems and concepts.
  • Experience operating (not engineering) AV/conferencing systems in a DoD or similar environment.
  • Strong customer service orientation; excellent verbal and written communication skills.
  • Proficiency with Microsoft Office suite (Outlook, Word, Excel, PowerPoint, SharePoint, Teams).
  • Ability to work independently, exercise sound judgment, and manage multiple concurrent requirements.

DESIRED QUALIFICATIONS:
  • Prior experience supporting Air Force, joint, or NATO exercise programs.
  • Familiarity with USAFE, AFAFRICA, or NATO exercise planning conferences and procedures.
  • Experience advising on or supporting IT procurement processes in a government contracting environment.
  • Experience working in an international/coalition staff environment

PHYSICAL REQUIREMENTS: Physical requirements may include, but are not limited to, lifting, ascending, and descending stairs, climbing, extended sitting or standing, to various degrees.
