THE WORK
We are seeking a proactive, detail-oriented Administrative Assistant Specialist to support Foreign Military Sales (FMS) international program teams. The person selected for the role will: Managing DoD international travel process, requirements and guidelines for FMS (Foreign Military Sales) international travel; CAC Card management for travelers that require a CAC Card to travel; Provide calendar management, expense reporting, and other assistance duties as needed. This role requires strong multitasking skills, a collaborative mindset, and a genuine "people person" approach.
Key Responsibilities:
- Meeting Coordination: Plan, schedule, and execute logistics customer meetings. Keeping track of Lockheed Martin and customer attendees, ordering catering, preparing tent cards, sign-in sheets, arranging AV support, submitting LM Visits, and on-site support.
- Document Management: Create, edit, and maintain presentations, reports, and correspondence using Microsoft Word, PowerPoint, Excel, and Outlook.
- Stakeholder Liaison: Serve as primary point of contact for internal and external customers, ensuring clear communication and timely follow-up.
- Administrative Support: Provide calendar management, expense reporting, and other assistance duties as needed.
- Working with the "International Travel Tool", setting up trips, monitoring travelers to complete mandatory DoD training, generating reports and submitting required DoD documents for international travel as per DoD travel guidelines.
- Working with our customer to manage CAC Cards for those who require one for international travel.
- Continuous Improvement: Identify process efficiencies and recommend best practices for meeting logistics and administrative workflows.

Basic Qualifications:
Must be detailed oriented, proficient in Microsoft Office suite, excel at logistics for high-impact meetings, on-site support, and possess the ability to obtain a DoD Common Access Card (CAC) and maintain a Secret clearance.
Desired Skills:
Experience providing administrative support to international teams; Familiarity with LM programs and customers

Pay Rate: The annual base salary range for this position in California, Massachusetts, and New York (excluding most major metropolitan areas), Colorado, Hawaii, Illinois, Maryland, Minnesota, New Jersey, Vermont, Washington or Washington DC is $51,800 - $91,310. For states not referenced above, the salary range for this position will reflect the candidate's final work location. Please note that the salary information is a general guideline only. Lockheed Martin considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/ training, key skills as well as market and business considerations when extending an offer.
