POSITION SUMMARY
MicroHealth is seeking experienced Medical Records Clerical Technicians to support the Department of State's Bureau of Medical Services (MED) in managing physical and digital medical treatment records. The technicians will work under general government supervision with minimal direct oversight, performing moderately complex record keeping, clerical work, and records management duties. Work locations will be split between Columbia Plaza, SA-1, Katmai Health Services, and a warehouse facility in Chantilly, VA.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Records Inspection and Processing
Receive and inspect inactive physical medical records from locations worldwide
Transfer medical records to National Personnel Records Center (NPRC) compliant folders and boxes
Identify and remove non-medical materials including blank pages, excess labels, patient education materials without PHI, and other non-relevant documents
Scan and store all pages within Medical Treatment Records, including duplicate copies
Ensure accurate documentation and handling of Personal Health Information (PHI)
Receive scanned patient medical records from overseas health units
Upload records into the appropriate patient medical record within the Electronic Health Record (EHR) system
Review patient demographic information and identifying data to accurately validate and associate records with correct patient records
Follow established indexing and records management procedures
Packaging and Shipping Preparation
Package inactive physical records into standard 1.2 cubic foot record boxes
Complete Standard Form 66D for each box
Serialize boxes and maintain detailed inventory of records
Prepare boxes for shipment to approved warehousing facilities
Provide copies of detailed inventory to the Contracting Officer's Representative (COR) prior to shipment
Digital Records Management
Work directly with MED records section on digital records management (one technician)
Catalog, repack, and prepare medical records for shipment to NPRC (warehouse-based technicians)
Maintain proficiency with computer systems and records management software
REQUIRED QUALIFICATIONS
Education:
High School Diploma or GED required
Bachelor's degree preferred
Experience:
2+ years of experience in medical records management or clerical work
Demonstrated ability to handle Personal Health Information (PHI) in compliance with HIPAA and privacy regulations
Experience with moderately complex record keeping and clerical tasks
Technical Skills:
Proficiency with Microsoft Excel, Word, and PowerPoint
Proficiency with computer systems and ability to learn new software applications
Ability to navigate Electronic Health Record (EHR) systems
Physical Requirements:
Ability to lift and carry 20-40 lbs regularly
Ability to stand, bend, and reach for extended periods while processing records
Manual dexterity for handling documents and operating computer equipment
Ability to work in warehouse environments with varying temperatures
Professional Competencies:
Ability to work under general government supervision
Capable of performing work with minimal direct oversight
Strong attention to detail and accuracy
Excellent organizational skills
PREFERRED QUALIFICATIONS
Previous experience working with federal government medical records
Knowledge of NPRC requirements and standards
Experience with records digitization and scanning processes

While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel objects, tools, or controls. The employee frequently is required to walk; reach with hands and arms; talk or hear; bend, stoop, or crouch; and stretch or reach overhead. The employee is occasionally required to stand, kneel, and lift objects above head level. The employee must be able to lift and/or move objects weighing up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
