We are seeking a highly organized and professional Executive Assistant to provide administrative and operational support to senior leadership. This role is ideal for someone who is proactive, detail-oriented, and able to manage multiple priorities in a fast-paced environment. The Executive Assistant will serve as a key point of coordination for schedules, communications, meetings, and executive-level tasking.

This role requires in-person support.

Duties:
  • Provide program management, management analysis, financial analysis, and administrative support to NSWC Crane Department
  • Gather, analyze, and manage data required for developing reports, updating plans, maintaining databases, and preparing documents (automated to the maximum extent possible) for submission to Department personnel and DoW customers on schedule and in the format required.
  • Provide technical support in determining, developing and maintaining metrics to monitor the Government's business processes.
  • Manage executive calendars, schedules, and meeting logistics. Provide meeting coordination support including planning and scheduling meetings, coordinating schedules with participants, reserving meeting space, preparing agenda and briefing materials, ensuring that briefing materials and equipment are available, recording and publishing meeting minutes, and developing and maintaining an action item tracking system for specified projects.
  • Provide technical and administrative support for data calls; workload plans; program plans and/or project associated documentation.
  • Coordinate internal and external meetings, including agendas, materials, notes, and follow-up actions.
  • Prepare, review, and edit correspondence, reports, presentations, and other business documents.
  • Assist with travel planning, expense reporting, and administrative processes.
  • Serve as a professional point of contact for managers, employees, customers, partners, and stakeholders.
  • Track priorities, deadlines, and action items to support timely execution.
  • Maintain confidentiality while handling sensitive business and personnel information.
  • Support special projects and other administrative needs as required.

Required Education:
  • High school/vocational school degree or GED certificate.

Desired Experience:
  • 3+ years of relevant experience as described in the description.
  • Customer service skills
  • Strong collaborator who can coordinate across multiple stakeholders
  • Excellent written and verbal communication skills.
  • Ability to manage competing priorities and adapt to changing needs.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Professional demeanor and ability to interact effectively with senior leaders, employees, and external stakeholders.
  • Ability to handle confidential information with discretion.
  • Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role.
  • Strong organizational skills and attention to detail.
  • Experience preparing meeting materials, presentations, and reports.
  • Ability to anticipate needs and proactively solve problems.
  • Experience in a government contracting, defense, technical, or professional services environment is a plus.

Must be able to obtain and maintain a Secret security clearance. Due to the sensitivity of customer related requirements, U.S. Citizenship is required.
