ECS is seeking an Project Coordinato r to work in our Quantico, VA office.

Are you ready to play a crucial role in supporting cutting-edge technology for federal law enforcement and scientific organizations? Team ECS provides mission critical operations through IT services and support for hardware, IT systems, applications, and operational technologies.

This position will work closely with the Program Manager, Technical Leads, and operational teams to ensure the successful coordination of program activities, contract deliverables, staffing actions, financial tracking, and internal communications. The Program Coordinator will serve as a key member of the program, helping maintain operational efficiency across multiple workstreams supporting mission-critical applications and enterprise services.

The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple priorities in a dynamic environment. Strong communication skills, initiative, and the ability to collaborate across technical and administrative teams are essential for success in this role.

Core Responsibilities Include:
  • Support the Program Manager with day-to-day program operations and administrative activities.
  • Coordinate and document recurring customer, program, and internal team meetings, including preparation of agendas, capturing meeting minutes, tracking action items, and following up on assigned tasks.
  • Maintain program schedules, calendars, and milestone tracking to support operational and contractual commitments.
  • Assist with contract deliverable management, including development, review coordination, quality checks, submission tracking, and maintenance of deliverable repositories.
  • Prepare recurring program reports, status updates, dashboards, and briefing materials for government and corporate leadership.
  • Coordinate onboarding activities for new hires, including staffing actions, access requests, equipment coordination, badging requirements, orientation scheduling, and training tracking.
  • Maintain personnel records, organizational charts, staffing trackers, and workforce planning documentation.
  • Support recruiting and staffing efforts by coordinating interviews, candidate communications, and hiring documentation.
  • Coordinate travel requests, training activities, and other program logistics as required.
  • Support configuration and maintenance of project management artifacts, SharePoint repositories, and collaboration tools.
  • Assist the Program Manager with preparation for Program Management Reviews (PMRs), customer meetings, audits, and contract reporting requirements.
  • Collaborate with government stakeholders, technical teams, and subcontractors to facilitate communication and ensure timely completion of program objectives.
  • Support continuous process improvement initiatives to enhance program efficiency, documentation quality, and operational effectiveness.

Salary Range: $80,000 - $120,000

  • Active Top Secret (TS) clearance.
  • Ability and willingness to work on-site at secure federal facilities.
  • 3-5 years of experience supporting project, program, or operations management activities in a federal contracting environment.
  • Demonstrated experience coordinating meetings, documenting action items, and managing administrative workflows.
  • Experience supporting contract deliverables, reporting requirements, or program documentation.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Experience supporting financial tracking, labor reporting, budgeting activities, or contract administration.
  • Excellent verbal and written communication skills.
  • Ability to prioritize competing demands and manage multiple tasks simultaneously.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams.

  • Bachelor's degree in Business Administration, Project Management, Information Technology, or related discipline, or equivalent work experience.
  • Experience supporting federal government or law enforcement programs.
  • Familiarity with contract management processes and federal contract deliverables.
  • Experience working with SharePoint and collaboration platforms.
  • Experience using Jira, Confluence, Microsoft Project, or similar project management tools.
  • Knowledge of project management methodologies, including Agile, Scrum, or Waterfall approaches.
  • CAPM, PMP, ScrumMaster, or other project management certifications.
  • Experience developing executive briefings, dashboards, and management reports.
  • Understanding of workforce planning, staffing coordination, and employee onboarding processes.
  • Experience supporting audits, compliance reviews, or quality assurance activities.
  • Demonstrated ability to identify process improvement opportunities and implement organizational efficiencies.
