Job Description

Epsilon Systems Solutions in San Diego is seeking a professional, organized, and customer-focused Receptionist / Front Desk Administrator to serve as the first point of contact for visitors, clients, and employees. The successful candidate will provide administrative support, manage front desk operations and assist with office administration to ensure the efficient day-to-day operation of the organization. This role requires excellent communication skills, attention to detail, and the ability to multitask.

Essential Duties and Responsibilities

  • Open and close front desk.
  • Greet and assist visitors, clients, vendors and employees in a professional and courteous manner.
  • Answer and direct incoming telephone calls, take messages, and provide information to callers.
  • Assist with conference room and desk reservations.
  • Assist with the organization of company events, meetings, conferences, and special projects.
  • Manage incoming and outgoing mail and packages, including receiving, sorting, distributing, and creating USPS, FedEx, and UPS shipping labels.
  • Create, update, and enter information into company databases and records management systems.
  • Monitor office and kitchen supplies and coordinate ordering and inventory as needed.
  • Ensure the front desk, reception area, and conference rooms remain organized and professional.
  • Handle confidential and sensitive information with discretion.
  • Copy, scan and fax documents.
  • Provide general administrative support to management and staff as assigned.

Required Qualifications:

  • High School Diploma, GED, or equivalent required.
  • Minimum of four (4) years of administrative, office support, receptionist, or clerical experience.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Professional appearance and demeanor.
  • Strong customer service and interpersonal skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to work independently and as part of a team.

Preferred Qualifications:

  • Associate's degree or additional administrative training preferred.
  • Experience supporting senior management or executive leadership.
  • Experience coordinating meetings and company events.
  • Experience maintaining office records, databases, and filing systems.
  • Technical writing or professional business writing experience.
  • Experience working directly with clients, customers, or external stakeholders.
  • Ability to effectively manage multiple projects and deadlines in a dynamic environment.

Pay Range:

The pay range for this role is $20 - $22 Hourly. This is a reasonable estimate for this role. Individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.

  • Regular communication (hearing/speaking)
  • Noise conditions range from very quiet to very noisy
  • Prolonged use of computer (typing/keyboarding)
  • Frequently required to sit for long periods of time, stand, walk, and may occasionally lift and move at least 25 pounds
