Work Hours: 40 hour week with core hours of 9-5pm

JOB DESCRIPTION

Summary/Objective
The position requires one-on-one interaction with USAF staff on-premise. The position requires independent research and analysis, communication, documentation, and problem solving.

Essential Functions
-Serve as the subject matter expert and primary point of contact for all conference and event planning support. Directly assist in the management of all conference and event planning activities, providing a comprehensive and customized approach to ensure each conference or event is successful and consistent with established policies.

-Develop and execute comprehensive, clearly defined plans, procedures, and checklists for all conferences and events. Ensure all planning documentation is maintained in electronic format and accessible via government-approved platforms.

-Coordinate site selection, lodging, and conference facilities as required. Provide onsite coordination to facilitate conferences and events at a tactical level, managing venue staff interactions and overseeing all activities taking place at the venue.

-Oversee and manage government online registration systems, enabling attendees to register attendance, submit personal requests, and request associated conference or event items. Respond to all calls and emails within 24 hours to confirm registration and address attendee questions.

-Create, maintain, and update SharePoint and/or Microsoft Teams sites to serve as a consolidated repository for all conference and event requirements, content, materials, and documentation.

-Coordinate and provide audio/visual (A/V) support to ensure all equipment needs are met, including presentation systems, microphones, podiums, sound systems, video, photography, and all related display and presentation equipment for the intended audience.

-Create, prepare, and review all conference and event materials, including staff briefings, name tags, name tents, agendas, presentation copies, signage, and other required materials for each conference or event.

-Provide assistance to participants with meeting locations, directions, logistical information, and general support while attending the conference or event.

-Support all post-conference activities, including survey follow-up, action item management, meeting minutes, notes, and presentations. Develop and submit a Problem and Resolution/Lessons Learned Report following each conference or event, identifying problems, recommending solutions, and suggesting enhancements to service delivery. All documentation shall be made available in electronic format and accessible for download from government-approved sites.

-Assist with planning, coordinating, and executing visits by distinguished persons. Provide support for any presentation, protocol, operational, or administrative tasks in support of branch requirements.

-Serve as the subject matter expert and primary point of contact for all administrative support program functions. Directly assist branch leadership in developing, establishing, implementing, and tracking branch administrative procedures. Analyze taskings, procedures, practices, and resources to ensure efficient and effective branch operations.

-Prepare and track branch taskings, consolidate required information, and make adjustments based on affected branch manning, experience, training, and abilities. Provide quality control and final review of all taskings and administrative documents prior to dissemination to ensure accuracy, compliance, and professionalism.

-Prepare briefing slides for senior and division leadership, with emphasis on content, operational focus, format, presentation, professionalism, and accuracy. Coordinate briefing inputs as necessary with Headquarters Air Force (HAF) and across Air Combat Command (ACC) directorates and staff.

-Create, maintain, and update SharePoint and/or Microsoft Teams sites to serve as a consolidated repository for all branch administrative requirements, content, materials, and documentation.

-Provide training and assistance to branch personnel on Microsoft Office applications, standard staffing templates, and administrative practices outlined in the ACC Action Officer handbook. Ensure branch compliance with established administrative standards and procedures.



Required Education and Experience
-USAF or DoW comparable equivalent Headquarters protocol and operations staffing/administrative experience. Preferably in CRC (6 Years)

-Protocol experience with General Officer-level event planning and coordination; itinerary development; and knowledge of USAF protocol regulations (3 Years)

-Experience with DOW and USAF automated data processing standards, policies, and techniques (3 Years)

-Experience planning and executing government meetings, conferences, working groups, and symposiums (4 Years)

-Experience with all forms of multimedia, to include computer-generated graphics, music, and video for use within Microsoft PowerPoint presentations (3 Years)

-Relevant experience as a project and/or program manager with demonstrated ability to perform as a senior level expert and serve as a senior project lead (4 Years)

-Experience working within a USAF Headquarters Staff environment at the NAF, MAJCOM, or above level, with experience producing decision documents, developing and presenting staff-level briefings, building staff packages, coordinating actions across staff directorates and major command elements, and interfacing with senior USAF leadership and external staffs (3 Years)

-Experience and proficiency with Microsoft Office 365 applications and platforms, including but not limited to Word, Excel, Access, PowerPoint, Outlook, Teams, and SharePoint, with the ability to produce professional documents, briefings, data analyses, and collaborative workspaces in support of senior leadership (4 Years)

Supervisory Responsibility

Work Environment
OnPoint exercises a hybrid work environment, meaning that some work may be done remotely, while other work needs to be completed on-premise.

Physical Demands
While performing the duties of this job, the employee may be required to move physical IT equipment.
