Job Description

Opportunity

PeopleTec is currently seeking an Administrative Assistant to support our Huntsville, AL location.

The Administrative Assistant provides clerical, administrative, and operational support to staff, management, and executive leadership. This role is responsible for maintaining records, preparing documents, managing correspondence, scheduling meetings, coordinating travel, and supporting daily office operations.

Key Responsibilities:
  • Answer phones, relay messages, and respond to routine inquiries.
  • Sort, file, scan, copy, and maintain records and documents.
  • Prepare, proofread, and process correspondence, reports, forms, and other materials.
  • Receive, sort, and distribute mail and packages.
  • Maintain calendars, schedule meetings, and coordinate logistics.
  • Prepare meeting materials, take notes, and track follow-up actions.
  • Assist with reports, spreadsheets, budget records, travel arrangements, and expense documentation.
  • Handle confidential information with professionalism and discretion.
  • Coordinate with staff, managers, and external contacts to support office workflow.
  • Assist with special projects, administrative tasks, and process improvements as needed.


Qualifications

Required Skills :
  • 4-8 years or administrative support experience
  • Customer service experience
  • Ability to work in a fast-paced, team environment
  • Ability to multi-task and complete assignments on schedule
  • Dependable self-starter with strong written and oral communication skills, and interpersonal skills
  • Ability to conduct and present themselves in a professional manner as an ambassador within industry
  • Familiar with Microsoft Office Outlook, Word, PowerPoint, and Excel and other software
  • Local Travel: 30%
  • Must be a U.S. Citizen

Educational Requirements :
  • A completed high school diploma. Bachelor's degree preferred.
