About the Job
SecureStrux is seeking a Staff Accountant & Financial Operations Coordinator to join our Accounting and Finance team. The Staff Accountant & Financial Operations Coordinator serves as a key member of the finance and operations team, supporting the day-to-day accounting functions of SecureStrux while ensuring critical financial processes are executed accurately, timely, and consistently.
This position is responsible for maintaining accounting records, coordinating payroll and expense reporting activities, supporting project accounting functions, assisting with month-end close, and helping ensure financial data remains organized and audit-ready. The ideal candidate is highly organized, detail-oriented, process-driven, and able to manage multiple priorities simultaneously.
Beyond transactional accounting responsibilities, this individual serves as a process owner and coordinator who actively monitors upcoming deadlines, identifies potential issues before they occur, and helps maintain operational continuity across the organization.

Salary Range: $60,000 - $70,000 - additional flexibility depending on experience

The Work You'll Do
Accounting & Financial Operations
- Maintain accurate and audit-ready financial records, including general ledger support and documentation.
- Perform bank, cash, and credit card reconciliations (including American Express) and resolve discrepancies.
- Process accounts payable transactions, vendor payments, and employee/contractor reimbursements.
- Support payroll processing, including validation of timesheets, labor allocations, and payroll adjustments.
- Prepare and post journal entries, including payroll accruals and other month-end adjustments.
- Assist with month-end and year-end close activities, including balance sheet reconciliations and supporting schedules.
- Maintain prepaid expense schedules and other recurring accounting records.
- Monitor accounts receivable balances and follow up on outstanding invoices.
- Support preparation of financial statements and internal management reporting.
- Support commission calculations and payment processing.
- Assist with tax reporting requirements, including 1099 preparation.
- Support audit readiness by maintaining organized documentation and responding to audit requests.
- Perform payroll reconciliations and support compliance reporting requirements.
Project & Program Coordination
- Create and maintain project setups in BigTime, including project structures, coding, and resource assignments.
- Review project-related financial data, including expense uploads, labor distribution, and cost allocations.
- Review and approve employee expense reports, ensuring proper documentation, coding, and policy compliance.
- Coordinate vendor setup, project administration, and ongoing operational support activities.
Process Improvement & Continuous Improvement
- Identify and implement opportunities to automate and streamline accounting and operational processes.
- Assist with improvements to ERP, financial systems, and workflows.
- Develop, document, and maintain standard operating procedures (SOPs).
- Create training materials and support knowledge transfer across the organization.
- Help build scalable processes and workflows to support organizational growth.
- Promote a continuous improvement mindset focused on efficiency, accuracy, and strong internal controls.
Qualifications
- Associate or bachelor's degree in accounting, Finance, Business Administration, or related field preferred.
- 3+ years of accounting, bookkeeping, payroll, or financial operations experience.
- Experience with QuickBooks, payroll systems, and Microsoft Excel required.
- Experience with project accounting, government contracting, ERP systems, or professional services organizations preferred.
- Strong analytical and reconciliation skills.
- Excellent organizational and time-management abilities.
- Ability to manage multiple deadlines simultaneously.
- Strong written and verbal communication skills.
- High attention to detail and commitment to accuracy.
