Description:This position supports the Director to the Signature Management & Survivability team. The successful candidate will perform a variety of administrative duties in support of the SM&S team. This position will require performance of the following tasks:
• Periodic support of other Directors including meeting planning, expense reports and staff meetings
• Manages various office functions
• Manages complex executive calendars and actively resolves meeting conflicts
• Makes executive travel arrangements
• Assists with presentation development and metrics collection
• Supports digital transformation initiatives and other duties as assigned
• Generates and submits timely executive expense reports
• As a delegate, reviews expense reports submitted to the F-35 Deputy GM by their direct reports in a timely fashion
• Screens and directs callers to the proper point of contact
• Manages flow and filing of sensitive and proprietary information
• Arranges meetings and conferences
• Receives, refers, or answers mail, to include review and properly re-directing e-mail with appropriate follow-up
• Uses personal computers and standard desktop software to compose reports, correspondence, and memorandums
• Reviews drafts and finished documents for appropriate grammatical usage
Professionalism and highly effective interpersonal skills are a requirement in this position. This role requires periodic event support and coordination to support offices with company tours and special events. Additionally, coordination is critical in this function to ensure organizations are kept informed of emerging issues and information. The successful candidate will be:
• Able to maintain confidential information pertaining to Directorate operations, proprietary, and personnel matters
• Able to manage Offsite/Special Event planning
• Capable of delivering basic Audio/Visual Support for Meetings
• Able to handle basic budget management
• Must be able to appropriately order office supplies
Basic Qualifications:
• Experience as an Administrative Assistance with 3+ years experience in support of an executive level office.
• Proficient with Microsoft Office - Microsoft Word, Power Point, Outlook, Excel. Must be able to create, edit, and manipulate all major applications.
• Experience arranging international/domestic travel and expense reporting.
• Experience managing multiple outlook calendars and email for leaders.
Desired Skills:
• Executive admin support of a Director or VP a plus.
* Must possess excellent interpersonal skills, and the ability to work well with all levels of staff, as well as external contacts including high levels of Company/Government personnel.
• Proficient with Travel/Expense reporting tools and reconciling expense reports; familiarization with Concur Travel/Expense Reporting system.
• Experience arranging international/domestic travel.
• Experience working with sensitive information, a high level of confidentiality is required.
• Detail oriented with ability to multi-task in a fast-paced, changing environment.
• Advanced experience in Microsoft Office applications such as PowerPoint, Word, Excel, and Access.
• High level of organizational and prioritization skills.
• Flexibility in acclimating to other software tools such as tools created with Tableau.
