Job Description

We have an opening for a Service Operations Specialist to provide operational and administrative support for maintenance program activities. This position supports the coordination, tracking, and reporting needed to enable maintenance work execution and assessment readiness. The selected candidate will collect and analyze operational data, coordinate with deployed teams and vendors, track procurements and material lead times, and assist with the logistics and documentation associated with audits and assessments. This role requires strong organizational skills, attention to detail, and the ability to work across multiple functional areas. The position supports established service operations processes and contributes to improved schedule visibility, reporting accuracy, and maintenance readiness. This position is in the Strategic Deterrence (SD) Directorate.

This position may offer a hybrid schedule, which includes the flexibility to work from home one or more days per week, after a probationary period. The specifics of the hybrid schedule, including the exact number of days required in the office and virtual work options, may vary based on the needs of the team and the organization.

This position will be filled at either level based on knowledge and related experience as assessed by the hiring team. Additional job responsibilities (outlined below) will be assigned if hired at the higher level.

In this role, you will
  • Collect, track, validate, and maintain facility and maintenance data from EAM systems and related databases.
  • Monitor work order activity and prepare standard reports, metrics, and summaries for management review and customer use.
  • Coordinate with deployed teams, internal stakeholders, and vendors to support execution of maintenance work and ensure required resources are available.
  • Track procurement status for materials, parts, and services needed to support maintenance work.
  • Coordinate logistics, schedules, and documentation support for maintenance assessments and audits.
  • Maintain service area records, databases, forms, trackers, and supporting documentation.
  • Respond to routine operational questions and resolve day-to-day issues using established procedures and guidance.
  • Assist with scheduling, follow-up actions, and general coordination activities that support maintenance readiness.
  • Perform other duties as assigned.

Additional Duties at the A07.2 level
  • Collect, validate, analyze, and report facility and maintenance data from EAM systems and related databases to support operational planning and management decision-making.
  • Prepare recurring, custom, and ad hoc reports, metrics, and summaries, and identify trends, issues, and opportunities for process improvement.
  • Coordinate multifaceted work activities with deployed teams, vendors, and internal stakeholders to support maintenance execution and resolve operational constraints.
  • Monitor procurement actions, material status, lead times, and communicate risks or delays that may affect schedule fidelity and work execution.
  • Coordinate and track audit and assessment logistics across multiple stakeholders, including schedules, document requests, meetings, status updates, and follow-up actions.
  • Work with document control and program personnel to identify, collect, organize, and track required records and documentation for assessments and readiness activities.
  • Research, compile, and reconcile information from multiple sources to support operational activities, management reviews, and issue resolution.
  • Apply established service operations processes independently, assess routine customer or operational needs, and provide informed support on solutions within the service area.


Qualifications

  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at the time of hire.
  • Experience coordinating workflow, work activities, or processes in a service operations, maintenance, facilities, logistics, or customer support environment.
  • Experience collecting, tracking, and reporting operational or performance data.
  • Knowledge of standard office systems, databases, spreadsheets, and reporting tools.
  • Ability to interpret established procedures and apply them to day-to-day work.
  • Strong organizational, administrative, and communication skills.
  • Ability to coordinate with multiple stakeholders and manage several tasks at once.
  • Demonstrated attention to detail and follow-through.

Additional Qualifications at the A07.2
  • Experience coordinating multiple work activities and multifaceted processes in a service operations or maintenance support environment.
  • Experience working with Enterprise Asset Management (EAM) systems or similar maintenance management systems.
  • Experience analyzing data and preparing summaries or reports for management review.
  • Experience assessing client or customer needs and identifying solutions to operational tasks and issues.
  • Experience tracking procurement actions, materials, or services and monitoring status and lead times.
  • Experience supporting audits, assessments, or compliance-related logistics.
  • Ability to work independently on ongoing assignments and use sound judgment in resolving issues within established processes.

Qualifications We Desire
  • Experience supporting facilities, maintenance, operations, or nuclear program environments.
  • Familiarity with document control processes and records coordination.
  • Experience working with vendors and internal support organizations.
  • Experience preparing custom or ad hoc reports.
  • Knowledge of business planning and tracking tools.

Pay Range

$82,140 - $115,728 Annually

$82,140 - $100,608 Annually for the A07.1 level
$94,560 - $115,728 Annually for the A07.2 level

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting; pay will not be below any applicable local minimum wage. An employee's position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.
