Position Description Summary:
The SharePoint Technical and Data Management Support Services position provides on-site technical, data management, reporting, and administrative support for the U.S. Coast Guard Offshore Patrol Cutter Project Resident Office. The position supports the development, maintenance, organization, and improvement of SharePoint-based tools, workflows, dashboards, repositories, document management processes, and program data tracking mechanisms. The role requires a candidate who can support program documentation, retrieve and analyze data, develop metrics, maintain version-controlled records, and assist with routine reports, data calls, and program management tracking activities.
Responsibilities:
• Develop, maintain, and improve SharePoint tools, dashboards, workflows, document repositories, task lists, and data management structures.
• Support SharePoint-based contract management, team activities, workflow tracking, document indexing, review, delivery, and approval processes.
• Organize and maintain current and historical program documentation within the SharePoint environment.
• Store, maintain, and manage version-controlled data products, including contract deliverables, comment matrices, status reports, reviewer/approver lists, and process instructions.
• Monitor SharePoint content, data repositories, file updates, and document submissions; notify appropriate Government staff of issues or required actions.
• Screen documents for proper distribution markings and data rights.
• Review contractor-submitted Data Accession Lists and provide recommendations to the Government lead.
• Maintain spreadsheets, SharePoint task lists, and trackers that support program financial activities, requirements documents, execution schedules, and obligation tracking.
• Research, data mine, retrieve, validate, and compile program information from SharePoint and other approved sources.
• Develop standardized reports, presentation graphs, workflow status reports, usage metrics, and process performance metrics.
• Provide data input, editing, and support for routine reports using Government-provided templates and formats.
• Track program documentation, including memoranda, MSAM documentation, decisional documents, reports, trackers, and other required records.
• Support administration, collection, and submission of data calls, including expedited responses with short turnaround times.
• Assist in preparation of lessons learned reports and briefs, including collection and comparison of data across hulls and Post Shakedown Availabilities.
• Develop and maintain processes and plans for existing and new Government reports, trackers, and documents.
• Attend meetings related to SharePoint status, data management, and assigned tasks; take meeting notes as required.
Skills & Experience:
• Minimum of four years of infrastructure and web-based development experience in a SharePoint software environment.
• Experience developing SharePoint workflows, dashboards, repositories, task lists, and document management tools.
• Knowledge of Microsoft Office applications, including Word, Excel, and Power BI.
• Experience supporting performance metrics, data analysis, reporting, and trending.
• Ability to organize and maintain large volumes of electronic records and program documentation.
• Ability to research, retrieve, validate, and summarize data from SharePoint and other approved sources.
• Experience maintaining trackers, spreadsheets, status reports, and workflow metrics.
• Strong attention to detail in document control, version control, formatting, indexing, and data accuracy.
• Ability to support time-sensitive data calls and reporting requirements.
• Strong written and verbal communication skills.
• Ability to coordinate with Government staff, program offices, and stakeholders to obtain, validate, and maintain program information.
• Ability to work independently with minimal guidance while meeting deadlines and task requirements.
Education:
• Bachelor’s degree required
Security Clearance Required:
• Must be able to obtain and maintain the required background investigation and access credentials necessary to perform work under the contract.
• Must be eligible for Common Access Card issuance.
• Must comply with DHS/USCG security, suitability, confidentiality, and non-disclosure requirements.
• Secret-level clearance eligibility is preferred based on the sensitive business, financial, and proprietary information associated with the requirement.
