Job Description
The Facility and Administrative Manager provides facility coordination and administrative support for operations at Stennis Space Center. This position is responsible for supporting day-to-day operational activities, including workspace management, office sustainment, administrative coordination, logistics support, supply management, and facility-related services.
The Manager serves as a key coordination point between assigned personnel and external support organizations, including installation support personnel, vendors, contractors, and service providers, ensuring smooth and efficient operational support. The position also supports exercises, demonstrations, meetings, and special events through logistical coordination, workspace preparation, and administrative assistance while ensuring compliance with applicable installation policies, safety requirements, and Government direction.
POSITION REQUIREMENTS AND ESSENTIAL JOB FUNCTIONS
KEY RESPONSIBILITIES:
Support office setup, workspace organization, and sustainment activities to ensure functional and efficient operational environments.
Coordinate facility maintenance requests, repairs, custodial services, deliveries, and other building-related support requirements.
Monitor facility conditions and coordinate corrective actions with installation support personnel and service providers as needed.
Maintain inventories of office furniture, equipment, supplies, and related operational resources.
Provide day-to-day administrative support for assigned personnel and operations.
Prepare, maintain, and organize reports, records, correspondence, spreadsheets, and operational documentation.
Assist leadership with routine reporting requirements, task tracking, and administrative coordination.
Support receipt, organization, and distribution of deliveries, shipments, and operational materials.
Coordinate logistical support activities for exercises, demonstrations, meetings, and special events.
Assist with workspace preparation, meeting room setup, audiovisual coordination, and event support activities.
Support post-event recovery, workspace reset, and restoration of operational areas following exercises or demonstrations.
Serve as a coordination point between UTTIC personnel and external support organizations, including installation personnel, contractors, vendors, and service providers.
Up to 30% of travel is expected for this role, including overnight and out-of-state as required to support operations, customer engagements, or company initiatives.
QUALIFICATIONS:
Minimum of 5–10 years of experience in administrative support, office management, facility coordination, or operational support roles.
Experience coordinating logistics, scheduling, and facility-related support activities in a professional environment.
Experience supporting government, defense, or military programs, preferred.
Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
Strong written and verbal communication skills.
Ability to work independently and collaboratively in a fast-paced operational environment.
Ability to maintain professionalism and handle sensitive or confidential information appropriately.
Active Secret security clearance preferred or higher.
