Job Description
Are you ready to contribute your expertise to mission-critical projects supporting national defense and federal agency operations? TechSilo is looking for a Senior Admin Support / Records Management Specialist to provide expert records lifecycle management and administrative support for a federal Information Resource Center. If you're passionate about federal records management, information governance, administrative operations, and compliance, this could be the perfect role for you.
In this position, you'll serve as a key resource responsible for managing agency records throughout their lifecycle, supporting compliance with federal records requirements, and acting as the contractor's records custodian and technical expert in coordination with the National Archives and Records Administration (NARA). You'll play an important role in maintaining records integrity, supporting FOIA-related information management, and ensuring day-to-day administrative and information resource operations run smoothly.
This is a proposal-based opportunity, and TechSilo is making contingent offers now for inclusion in a proposal due June 5. Employment in this role is contingent upon contract award.
On a given day, you will spend time:
Managing central agency files and converting paper records into electronic recordkeeping systems in accordance with federal records policies, agency procedures, and NARA requirements.
Establishing and maintaining electronic and physical file structures, naming conventions, access controls, records inventories, and monitoring retention and disposition activities.
Serving as the primary records management point of contact and contractor records custodian, coordinating with NARA on scheduling, transfers, and related reporting.
Supporting FOIA-related information management, including retrieval, organization, and tracking of responsive records.
Maintaining library holdings databases and supporting broader Information Resource Center operations.
Preparing records management reports, self-assessments, briefings, and supporting staff training on records management procedures.
Qualifications
Active SECRET security clearance required.
High school diploma required; associate's or bachelor's degree preferred in Information Management, Library Science, Business Administration, Public Administration, Records Management, Archives Management, or a related field. Equivalent professional experience may be considered where contractually allowable.
At least 10 years of related professional experience, including at least 5 years of records management experience with FOIA information management responsibilities.
Demonstrated experience supporting federal records lifecycle management, including records creation, maintenance, inventory, scheduling, retention, disposition, transfer, file plan development, and records clean-up.
Experience coordinating with or supporting NARA requirements.
Strong familiarity with federal records management regulations, policies, and best practices.
Strong administrative support experience in a federal or government-contractor environment.
Proficiency with Microsoft Office, database systems, records tracking tools, document scanning tools, and digital file management systems.
Strong written and verbal communication, customer service, organization, and multitasking skills.
Ability to work independently, manage competing priorities, and maintain exceptional attention to detail.
Ability to move, lift, carry, and organize physical files and file boxes as needed.
Preferred Qualifications:
Prior experience supporting a federal agency Information Resource Center, library, records office, or administrative office.
Familiarity with SharePoint, Adobe Acrobat, electronic records management systems, scanning/imaging tools, records inventory systems, and FOIA tracking tools.
Experience supporting records audits, self-assessments, compliance documentation, and records-related staff training.
Knowledge of controlled or restricted records access procedures and government support environments is preferred.
