Job Description
Are you ready to contribute your expertise to mission-critical projects supporting national defense? TechSilo is looking for an Admin Support / Project Information Specialist to provide mid-level administrative, project information, and records management support across USTDA's Information Resource Center operations. If you're passionate about information management, administrative operations, and organizational support and meet the qualifications below, this could be the perfect role for you.
In this position, you will support a wide range of operational and administrative functions that help ensure the agency runs efficiently and effectively. You will play a key role in maintaining information systems, improving internal processes, supporting staff with training and technical assistance, and ensuring records, reports, and administrative programs are managed accurately and on time. This is a proposal-based opportunity, and TechSilo is makingcontingent offers nowfor inclusion in an upcoming proposal; employment in this role is contingent upon contract award.
On a given day, you will spend time:
  • Supporting the development, implementation, and improvement of organizational and administrative policies, procedures, and workflows.
  • Managing records and information systems, including project report libraries, document repositories, and records retention processes.
  • Providing administrative and operational support for travel management, office management, facilities coordination, and related internal service functions.
  • Creating, editing, and maintaining presentations, reports, spreadsheets, and other business documents for internal and external stakeholders.
  • Setting up and supporting conference rooms, board rooms, and training rooms, including hands-on audiovisual troubleshooting and user support.
  • Assisting with onboarding and offboarding activities, tracking administrative actions, and supporting internal coordination across programs.
  • Reviewing grant and contract deliverables for completeness, formatting, tracking, and compliance with established procedures.
  • Helping generate programmatic, operational, and financial reports using agency systems and reporting tools.
  • Providing training and technical assistance to staff on information systems, records procedures, and administrative processes.
  • Supporting process improvement efforts by identifying inefficiencies, recommending solutions, and helping implement best practices.
  • Delivering strong customer service to agency personnel and stakeholders while managing multiple priorities in a fast-paced environment.

  • Qualifications
    WHAT YOU BRING:
  • Active SECRET security clearance required.
  • Bachelor's degree in Business Administration, Information Management, Public Administration, Communications, or a related field required; equivalent combination of education and relevant experience may be considered where contractually allowable.
  • Minimum of 7 years of professional experience in administrative management, project support, information management, office operations, or a closely related functional area.
  • Demonstrated experience supporting one or more of the following areas: records and information management, office management, facilities coordination, travel management, human resources support, budget or finance administration, security administration support, or program/project reporting.
  • Strong written and verbal communication skills, with the ability to prepare professional correspondence, reports, presentations, and documentation.
  • Proven ability to manage multiple assignments, prioritize effectively, and resolve complex administrative and operational issues independently.
  • Strong customer service mindset and ability to interact professionally with agency personnel, leadership, vendors, and other stakeholders.
  • High attention to detail, solid organizational skills, and the ability to maintain accuracy in document control, reporting, and records systems.
  • Familiarity with common office productivity, collaboration, records, and document management tools, as well as basic audiovisual and conference room technologies.
  • Preferred Qualifications:
  • Experience supporting federal government administrative or information management operations.
  • Familiarity with records retention requirements, agency filing systems, and administrative compliance practices.
  • Experience working in environments that require coordination across administrative, program, and operational functions.
  • Prior experience supporting conference, boardroom, or training environments with on-site technical troubleshooting.
  • Experience reviewing grant, contract, or program deliverables for administrative completeness and tracking.
  • Familiarity with process improvement methodologies or workflow documentation.
