ADMINISTRATIVE ASSISTANT

POSITION OVERVIEW


The Administrative Assistant provides comprehensive administrative support to the Program Integration Office (PIO), serving as the organizational backbone for day-to-day operations across a dynamic environment. This role is responsible for documenting key decisions and lessons learned from PIO meetings, managing the contractor access program, and maintaining the wing bed-down calendar, including TDY orders and authorizations, schedules, conferences, and telecommunications in accordance with the Defense Travel System and Joint Travel Regulations. The position requires proficiency across a broad suite of Air Force enterprise applications as well as Microsoft Office and collaboration tools. The ideal candidate brings a minimum of five years of U.S. Air Force administrative experience and demonstrates exceptional organizational skills, attention to detail, and the ability to manage multiple simultaneous priorities with discretion and professionalism. This role also coordinates with the installation protocol office on visit requests and requires outstanding interpersonal and communication skills, as well as the ability to anticipate and resolve challenges with flexibility and sound judgment.


JOB RESPONSIBILITIES:


  • Document key points, decisions, & lessons learned from all PIO meetings.

  • Manage contractor access program.

  • Build wing bed-down calendar, manage temporary duties (TDYs), schedules, conferences, and telecoms.

  • Supports PIO offices with all aspects of office administration.

  • Requires access to "my suite of applications". Examples include but are not limited to: My eval, My decs, My report, My fitness , My biz, AMS, MilPDS, BLSDM, DTS, and Leave Web.

  • Coordinates with installation protocol office on any visit requests coming to the PIO.


REQUIRED QUALIFICATIONS:


  • Minimum of five (5) years of U.S. Air Force administrative support experience.

  • Shall be qualified in Defense Travel System and Joint Travel Regulations and will manage TDY orders and/or authorizations for the PIO employees.

  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Teams, and Zoom in a Windows environment.

  • Flexibility to track, prioritize, and execute multiple simultaneous responsibilities in various parts of the organization.

  • Outstanding organizational skills, attention to detail, and superb interpersonal, communication, and teamwork skills.

  • Ability to exercise confidentiality and discretion.

  • Ability to anticipate and troubleshoot problems and exhibit significant flexibility in accommodating the necessary work demands.

  • Active Secret security clearance
