A unique responsibility of this role is the timely and accurate processing of Quiet Zone regulatory applications, requiring strict adherence to federal deadlines.

Role Overview
The Executive Operations Specialist provides proactive, executive-level business operations and logistical support to the Associate Administrator/Chief Safety Officer, Office Directors, and broader staff. A unique responsibility of this role is the timely and accurate processing of Quiet Zone regulatory applications, requiring strict adherence to federal deadlines.
Responsibilities
- Proactively manage executive calendars for the AA/Chief Safety Officer, resolving scheduling conflicts seamlessly and coordinating physical meeting room logistics for approximately 10 leadership meetings per week
- Book complex itineraries using E2 Travel Solutions; process travel authorizations and vouchers for approximately 6 travel actions per month, ensuring compliance with Federal Travel Regulations
- Receive, scan, and accurately enter hard-copy Quiet Zone applications (2-30 pages each, approximately 2-3 per week) into the designated Quiet Zone database within five (5) working days of receipt - no deviations accepted
- Actively receive and escort VIP guests and visitors (approximately 6 per month) through FRA facilities to designated meeting locations in strict adherence to FRA security procedures
- Provide general business operations support to Office Directors of subordinate offices and broader staff as needed
- Maintain a professional demeanor and communication style; handle difficult or combative callers with diplomacy and tact
- Ensure all visitors and callers are handled courteously with zero substantiated complaints per quarter
Required Minimum Qualifications
- Bachelor's degree in Business Administration or a related field; equivalent experience accepted
- Minimum three (3) years of experience in executive administrative support, front office operations, or a related role in a federal or large organizational environment
- Experience with data entry into specialized regulatory or tracking databases preferred
- Familiarity with E2 Travel System or equivalent federal travel management platforms
- Strong organizational skills with demonstrated ability to manage both executive scheduling and high-precision data entry responsibilities simultaneously
- Proficiency in Google Workspace and Microsoft Office applications
- Professional demeanor and experience as a front-office point of contact in a security-conscious environment
- Ability to obtain and maintain a Public Trust (Low Risk) clearance
