Job Description

Duties

  • Obtain needed background information before referring calls to supervisors or staff members.
  • Schedule appointments without prior approval for the Chief, Deputy and Clinic Chiefs based upon personal judgment and knowledge of supervisors' desires and activities.
  • Arrange meetings and staff conferences.
  • Manage incoming and outgoing correspondence for department, as well as the pickup and distribution of official mail.
  • Review outgoing correspondence for proper format, procedural and typographical accuracy, and grammar.
  • Arrange for the ordering and management of office supplies, equipment, and printing support.
  • Trains military and civilian staff members on Department Standard Operating procedures, DDEAMC regulations and policies and office procedures.
  • Operate automated equipment with features such as database, word processing, telecommunications and spreadsheets.
  • Serve as the point of contact (POC) responsible for managing and providing guidance concerning the DTS and Timekeeping Systems.

  • Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
  • Appointment to this position is subject to a one-year probationary period unless the appointee has previously met the requirements as described in 5 CFR Part 315.
  • Immunization screening is required. Hepatitis B immunization is required for all positions with direct patient contact. Applicants may be required to show proof of other immunizations depending on the type of position.
  • A personnel Tier 3 secret security investigation is required.
  • This position is a Testing Designated Position (TDP) subject to a pre-employment drug screening, and random testing thereafter, to include testing based on reasonable suspicion and testing due to direct involvement with an on-duty accident.
  • This position has a mandatory seasonal influenza vaccination requirement and is therefore subject to annual seasonal influenza vaccinations.

In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Specialized experience: One year of specialized experience which includes receiving visitors and telephone calls; scheduling patient appointments or coordinating referral appointments; preparing documents or correspondence utilizing office automation tools.This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04).

OR

Education: A half year (i.e., 9 semester hours) of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, such as Business, Human Resource, Health Care Management or Administrative healthcare.

OR

Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) by 9. Add the two percentages.

Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-05).
