Job Description
Seeking a collaborative onsite professional for a contract Program Administrative Assistant. US Citizens only permitted as the role will require DOD Secret Clearance. Contractor's success will be measured by maintaining proactive behaviors, generating professional and comprehensive documentation, integrating with team dynamics.
Responsibilities
• Serve as a Data Transfer Agent, ensuring the integrity and security of information as it moves between systems.
• Strictly adhere to established protocols for handling controlled and sensitive data.
• Transcribe technical discussions, handwritten notes, into polished, professional documents.
• Demonstrate high typing speed and superior command of grammar and technical terminology.
• Attend program meetings to record comprehensive minutes, tracking action items, decisions, and deadlines.
• Distribute finalized summaries to stakeholders in a timely, organized manner.
• Maintain and audit physical and digital filing systems to ensure rapid retrieval of critical program documents.
• Standardize naming conventions and folder structures to improve team efficiency.
• Travel on occasion to support off-site meetings, program reviews, or data couriering to customer locations.
Qualifications
• DoD Clearance: Active Department of Defense (DoD) Secret or Top-Secret clearance is highly preferred. Candidates must, at minimum, be eligible to undergo a background investigation and be a U.S. Citizen.
• 3-5 years' experience
• HS Diploma / AS Administration
• Must possess a valid driver's license and reliable transportation.
• Software Proficiency: Advanced knowledge of Microsoft Office 365 (Word, Excel, SharePoint, and Teams).
• Organizational Skills: Proven ability to manage competing priorities in a fast-paced environment.
• Communication: Exceptional verbal and written communication skills, specifically in a professional or military-industrial context.
