General Function:
  • Coordinate and interact with base facilities, personnel offices, security, IT support, and building managers to ensure smooth daily operations across the ACS Directorate.
  • Support Government‑hosted meetings and events by scheduling conference rooms, preparing agendas, arranging room setup, sending invitations, and coordinating DV parking and travel requirements.
  • Provide in‑event support for CONUS activities, including graphics, facilitation, administrative assistance, and protocol support, while ensuring no OCONUS travel is performed.
  • Conduct post‑event follow‑up actions, ensuring all Government‑directed tasks and documentation requirements are completed.
  • Develop, maintain, and update Directorate, Division, and Program schedules and calendars, ensuring consistency and accuracy across multiple platforms.
  • Temporarily relocate to the PEO Training Directorate front office when required to support PEO/Deputy administrative staff with schedule and calendar duties.
  • Assist in planning, editing, formatting, publishing, and storing finished products such as reports, plans, directives, briefings, and presentations in any required media or classification level.
  • Provide expert computer and software support to create visual aids, briefing charts, graphics, and other presentation materials, and assist during briefings as needed.
  • File, retrieve, and manage graphics and briefing materials to support efficient report and presentation development.
  • Maintain Operating Instructions (OIs) and develop self‑inspection checklists, ensuring alignment with administrative processes and supporting deficiency tracking and correction.
  • Assist with Unit Compliance, Operational Readiness, and emergency management program inspections and execution.
  • Establish and maintain master files and file plans for program data, ensuring accurate tracking and issue resolution across Divisions.
  • Use AFRIMS and the Electronic Records Management structure to search, retrieve, and manage active and inactive physical and electronic records.
  • Support suspense tracking by updating suspense status weekly, ensuring proper assignment, completion, and reporting using ACS and SOCCER tracking tools.
  • Serve as the focal point for collecting, preparing, and displaying materials for staff meetings, including producing databases, spreadsheets, graphics, and automated forms.
  • Support preparation of standardized forms such as travel orders, performance reports, awards, procurement documents, maintenance forms, and disposition paperwork.
  • Provide administrative support to the Management Operations Division, including FOIA and Privacy Act request assistance and personnel in‑/out‑processing.
  • Manage Directorate mail operations, including logging, receiving, signing, distributing, and properly handling classified and unclassified mail, ensuring compliance with signature and delivery requirements.
  • Track unit staffing, maintain organizational charts, and update Pyramid Alert/Recall and Shelter‑In‑Place rosters while supporting Directorate supply operations such as ordering, receiving, storing, and distributing office supplies and equipment.
  • Operate and support facsimile and VTC equipment, including scheduling VTC bridges and ensuring proper connectivity for Directorate communications.

Qualifications:

Education/Certifications/Experience/Skills:
  • BA/BS or Master of Arts/ Master of Science (MA/MS) degree and over 10 years of relevant experience.
  • Must possess and maintain a government security clearance at the Secret level.
  • Must be proficient in the use of Microsoft programs (including Excel, Word, Outlook, Word, Excel, PowerPoint, Access, Visio, and Project).
  • Must be able to perform all functional duties independently.
  • Must be able to transport self to various facility sites, as required. If using own motor vehicle, must possess a valid driver's license and proof of insurance.
