Job Description
Saxman One is seeking an experienced Administrative Support professional to support CIWT.
The total hourly pay for this non-exempt position is $25.50 per hour for up to 40 hours per week. This is comprised of a base hourly rate of $20.41 plus $5.09 per hour Health & Welfare (H&W) for up to 40 hours per week as required by the Service Contract Labor Standards (SCLS) regulations. This rate represents the company's good faith and reasonable estimate of possible compensation at the time of posting. In addition, for eligible positions we offer a variety of benefits including specified holidays, paid leave, health insurance, dental insurance, vision insurance, life and disability insurance, tuition reimbursement, as well as 401K with company match. This job will be posted until filled or withdrawn.
Duties may include but are not limited to the following:
Meet the administrative requirements of the organization's daily routine, participating in all staff meetings, briefs, and discussions to take minutes and to stay abreast of changes affecting the organization's administrative functions and workflows;
Answer phones and receive scheduled and unscheduled visitors, providing to callers and visitors information and instruction as directed;
Develop and m aintain common calendars and a tickler system, notifying responsible personnel to ensure actions are completed on or before due dates;
Prepare, from rough draft to final smooth copy, reports, papers, forms, letters, memoranda, and other correspondence, verifying proper spelling, grammar, and format (the Professional may be required to transcribe from previously typed material, longhand submissions, electronic systems, or any similar system acceptable within industry standards);
Maintain inventories of the organization's administrative supplies and mission materials and, when inventories fall to predetermined thresholds, prepare and track orders to maintain established stock levels;
Maintain a repository of the organization's most current fillable electronic forms, designing and developing new forms and revising existing forms, as required and directed; and
Maintain electronic files in electronic and hardcopy filing systems, as directed.
Correspondence - The Administrative Support Professional will:
Receive, open, and review incoming hardcopy and, as directed, electronic correspondence;
Sort incoming correspondence into action and information categories;
Log and track incoming correspondence requiring action;
Route incoming correspondence to appropriate parties;
Prepare outgoing correspondence IAW originator instructions and the Navy Correspondence Manual (copy to be provided to Professional at contract start), reviewing for completeness and correctness (i.e., proper spelling, grammar, and format);
Ensure outgoing correspondence has routing annotated on the routing transmittal;
Route outgoing correspondence through the command's applicable routing chain for signature(s); and
Track outgoing correspondence requiring action / response, sending tracers when required.
Classified Material / Spaces - The Administrative Support Professional must:
Comply with all DoD and Navy security regulations and instructions concerning the handling of classified materials and maintaining security of classified spaces. Copies of these regulations and instructions will be provided to the Professional.
Office Automation - The Administrative Support Professional will:
Operate and assist others to operate, per manufacturers' instructions, office automation equipment, including but not limited to telephones, desktop computer(s), CD / DVD reproduction machines, printers, scanners, copiers, shredders, and fax machines;
Resolve the most basic, user-level troubleshooting (e.g., clearing a paper jam in a printer) and preparing trouble tickets for more complex repairs

High School diploma
Highly relevant experience
Active DoD Secret clearance
Familiarity with DoD procedures and environment
Skilled with current office equipment (including various office technology and applications - i.e. computers, Microsoft Office)
As required by this contract, qualified candidates must have the ability to speak and communicate in English and be United States citizens.
