Take on an exciting position to serve as an Administrative Assistant to support the Navy History and Heritage Command's (NHHC) Director's Action Group .
NHHC is responsible for the preservation, analysis, and dissemination of U.S. Naval history and heritage. NHHC's mission is to: Collect, preserve, protect and make available the artifacts, documents, and art that best embody our naval history and heritage for present and future generations. Advance the knowledge of naval history and heritage through professiona l research, analysis, interpretation, products and services. Remind America of its need to maintain a strong Navy and Marine Corps t o protect its citizens, their freedoms and the nation's maritime commerce.
Responsibilities:
Administrative Support
Take charge of essential clerical tasks, such as accurate data entry, efficient filing, precise photocopying, and thorough scanning.
Create and polish correspondence, reports, presentations, and other vital
documents to ensure clarity and professionalism.
Keep physical and digital filing systems organized and up to date, enhancing
productivity and accessibility for the DAG team.
Scheduling and Coordination
Effectively manage and streamline schedules for the command.
Proactively arrange meetings, appointments, and conference calls, ensuring
the necessary rooms are booked, and materials are prepared for success.
Communication
Efficiently manage and streamline the command's schedules.
Proactively arrange meetings, appointments, and conference calls while
securing room bookings and preparing essential materials to ensure smooth operations .
Office Management
Monitor and order office supplies to ensure availability.
Coordinate maintenance and repairs for office equipment as needed.
Play a key role in fostering an organized and efficient office environment.
Event and Meeting Support
Create engaging meeting agendas, meticulously record minutes, and promptly distribute follow-up materials.
Take the lead in planning and organizing impactful command events and training sessions that foster growth and collaboration.
Financial Assistance
Assist in budget preparation and monitoring of expenses.
Special Projects
Empower team members by providing thorough research, data collection, and
insightful analysis for special projects.
Embrace new challenges and responsibilities as delegated by the Executive
Team to drive command success forward.
Required Skills
Possess a minimum of 24 months of experience providing intermediate to high level administrative and program analyst support. Examples of this level of work include writing, organizing, and editing high - level briefs, decision and informational papers.
Bachelor's degree or 4 years of undergraduate level education leading to such a degree or certificate. Experience that equipped the applicant with the particular knowledge , skills, and abilities to perform successfully the duties of the positions, and that is typically in or related to the work of the position to be filled.
Have excellent organizational skills and attention to detail confirmed by references or prior positions.
Incumbent must demonstrate experience drafting, routing, editing and preparing numerous administrative products simultaneously.
Demonstrate strong organizational, prioritization, written and oral communication skills
Must be able to demonstrate expert knowledge in Microsoft PowerPoint. This includes following and creating templates, drafting executive level material, editing slides, and making recommended changes.
Must be able to demonstrate intermediate to expert knowledge especially Microsoft Word, Outlook, and Excel. Incumbent should demonstrate extensive experience using excel to monitor and track information and Microsoft word for preparing briefs, memos and other written products.
