FULL DESCRIPTION: Assists HR Director in all areas of HR. You will act as the first point of contact for HR-related queries from employees and external partners. Your main administrative duties include maintaining personnel records, managing HR documents (e.g. employment records and onboarding guides) and updating internal databases. Our ideal candidate has experience with HR procedures and can manage various administrative tasks in a timely manner.
The selected candidate will be responsible for:
Recruiting
- Assists with scheduling interview appointments for applicants.
- Prepares offer letters to nonexempt, and/or exempt new hires.
- Coordinate the pre-placement physical and drug screens and results with each applicant and initiates background and other screening requirements
New Hire Orientation
- Prepares new hire packets for new employees.
- Provides orientation for new employees by providing information packets, reviewing company policies, gathering withholding and other payroll information, explaining benefit programs, and obtaining signatures for documents
Other Responsibilities:
- Maintains human resources records for employees by recording the hiring, transfer, termination, change in job classifications, and merit increase
- Prepares high volume of correspondence regarding terminations, leave of absences, unemployment claims letters, etc.
- Maintains and completes all I-9 information and forms in compliance to DHS federal regulations.
- Completes portions of written and phone requests for verifications of employee employment history from mortgage companies, district attorneys, and government agencies for employees.
- Prepares prior year's employment files and for storage each year.
- Organize and maintain personnel records
- Update internal databases (e,g. COVID vaccination log)
The selected candidate will also possess:
- Proven work experience as an HR Administrator, or relevant role
- Experience with HR software, like ADP Vantage
- Computer literacy (MS Office applications, in particular)
- Thorough knowledge of labor laws
- Excellent organizational skills, with an ability to prioritize important projects
- Strong phone, email and in-person communication skills
- Excellent verbal and written communication skills in English.
- Ability to work effectively in an environment where tact, sensitivity, respect, tenacity, persuasive ability, and decisiveness are required for success.
- Ability to handle and prioritize multiple issues simultaneously.
- High level of motivation and sense of urgency; prioritizes and follows up accordingly.
- Ability to meet critical deadlines and work in fast paced environment.
Salary Range: $20-25/hour
