Bennett Aerospace Inc, a subsidiary of Three Saints Bay, LLC and a Federal Government Contractor industry leader, has an opening for a highly motivated Program Support Specialist located in Arlington, Virginia.

The successful candidate will have a solid program administrative background and use his/her organizational skills, administrative experience and understanding of prioritization of tasks to address program needs while maintaining program confidentiality. The Program Support Specialist will perform a wide range of administrative, office and professional support activities, customer support services, data entry, research and analysis, program and project support to customer managers to facilitate the efficient operation of the organization. The Program Support Specialist will also be called upon to perform other duties as assigned and required, sometimes on short notice. Regular, dependable and predictable attendance is essential for satisfactory performance as is the ability to work both with minimal direction and within a team environment.

Position Responsibilities:
  • Provides oversight and administrative support in the planning, execution, analysis, and tracking of resources.
  • Develop plans, including budgets allocations and schedules, to meet various operational project requirements for the assigned portion of a program.
  • Conducts in-depth analysis of a wide variety of sources, studies and/or audits as established/planned in the program requirements.
  • Participates in establishing and defining program plan requirements.
  • Coordinates interdepartmental development of program plans and interfaces with other sections and offices.
  • Evaluates, monitors, and reports performance against plans to ensure guidelines meet appropriate procedures and policies.
  • Provide logistical support for conference planning, meetings and outreach.
  • Performs a range of general administrative support activities.
  • Order and maintain office supply inventories.
  • Assists with facilities/space management, customer support services, resource distribution, acquisition support, and human resources support.
  • Receive and document calls and emails from internal and external sources concerning government actions or requirements for section matters.
  • Perform Timekeeping functions and audits as directed and required in support of specified sections assigned by management.
  • Manage time and attendance reports; leave records; trip records and logs. Correct any discrepancies found in reports for Sections throughout the program.
  • Assist with travel planning and coordination of designated personnel by management.
  • Create, format, proofread, and edit letters, correspondence, reports, drafts memos, cables and emails as directed or assigned by managers.
  • Conduct research of administrative or technical issues affecting daily operations or section responsibilities.
  • Research and compose written materials utilizing a variety of information sources to develop documents, database information systems and debriefings as directed by management.
  • Track correspondence, documents, and projects.
  • Assist personnel with timely and accurate submission of required reports.
  • Maintain documentation and a historical record for projects and provide management with updated status.
  • Participate, as requested, in discussions, meetings, conferences, and conference calls with agency administration, subject matter experts, and other personnel.
  • Participate in project performance team meetings to provide updates and progression statuses.
  • Learn and maintain current knowledge, as appropriate, of standard operating procedures (SOPs), existing and emerging regulations, standards, or guidance documents.
  • Assist with ensuring compliance with SOPs and in initiating and revising SOPs as directed by management.
  • Maintain administrative and/or regulatory files/database and chronologies in good order.
  • Conduct research; develop and maintain spreadsheets, tracking databases, reports, and presentations ensuring information is accurate; generate and document information for statistical purposes.
  • Perform data entry and reconcile any inconsistencies that may appear in databases.
  • Utilize government database systems and word processing and spreadsheet software and generate associated reports from the databases.
  • Handle requests for information and data; resolve administrative problems and inquiries.
  • Maintain hard copy and electronic filing system and scan documents into digital files.
  • Provides technical guidance to other staff members throughout the program.
  • Performs other duties as assigned.


Position Requirements:
  • Minimum of a bachelor's degree or equivalent.
  • Must have 4 years of relevant experience.
  • Position requires strong analytical, interpersonal, oral and written communication skills, and the ability to solve complex problems and work in a team environment.


Skills:
  • Experience with Microsoft Teams and SharePoint management and computer software programs.
  • Must be proficient in the Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), with strong emphasis on advanced Excel and Power Point skills.
  • Proficient and experienced in applying analytic methodologies and principles to address program needs and criteria.
  • Possess solid database operation and data analyst skills.
  • Strong oral and written communication skills.
  • Strong organizational skills and attention to details experience.

  • Must be a US Citizen with the ability to obtain a US Government security clearance.
  • Successful Pass of Bennett Aerospace Background Investigation Drug Screening and Credit Check.
