Job Description

Responsibilities

Customer seeks an experienced and motivated individual to perform in the role of Front Office Systems Integrator for a department front office. This is a customer-facing, team-oriented position assigned to the Chief of Staff, supporting the senior leadership team. Responsibilities of this position include, but are not limited to, the following:

  • Development, coordination, and implementation of strategic communications plan; includes messaging to a variety of audiences to address programmatic and technical information, marketing and outreach materials (e.g., briefings, placemats, etc.) to ensure common understanding of the department's strategic goals.
  • Design and creation of graphic illustrations, infographics, brochures, presentations, and other products-including coordination with technical POCs to ensure content accuracy and consistency across products; maintain the library of images, materials and ensure version control.
  • Coordination of branding and identity visualizations with senior leadership and Center-level graphics and communications teams, as necessary, for production.
  • Website creation/maintenance, including coordination with Center-level communications team to ensure consistency and compliance with templates and standards.
  • Assist with administration of Confluence-including access management, creation, organization and maintenance of pages; monitor the Department's content and coordinate with project teams to ensure consistency and currency of information.
  • Responsible for all aspects of department-wide newsletter development, coordination and publication.
  • Coordination with development and other project teams to ensure consistent look and feel of user-facing messaging.
  • Coordination with senior leadership to draft and publish workforce notices, awards, articles for Center-level publications, talking points, etc.
  • Development of schedules and deliverables associated with special projects, as assigned by the front office, including recurring status updates.
  • Assist with development, coordination, and implementation of the organization's file plan, including the transition of file management to new file storage platforms; maintaining configuration/version control of briefings and other documents.
  • Support the creation and maintenance of dashboards using tools like Confluence, Jira, PowerBI and/or ServiceNow, to communicate program/project status to a variety of audiences.
  • Assist with SharePoint Site Content Administration; build/maintain sites, libraries, lists, etc. to ensure effective knowledge management and version control.
  • Assist with translation/definition of governance process requirements/workflows for the development of the organization's automated, group-wide tool(s), as applicable.
  • Coordinate with external stakeholders and participants in the Department's governance process to ensure effective communication and transparency in status updates and reports.
  • Facilitate decision meetings/forums, as necessary, to ensure data-driven decision making and document decisions for the record.
  • Capture actions and track to completion, including metrics and statistics reporting, as necessary
  • Assist with strategic planning support to senior leadership; assist with planning/support for senior management off-sites, all-hands meetings, etc.
  • Provide direct support to the Chief of Staff and members of FO staff for special projects/activities, as required.

Qualifications

Required:

  • Must possess and be able to maintain a TS/SCI clearance with Polygraph.
  • A degree (or equivalent experience) in Computer Science, Information Systems, Engineering, Business, or a scientific or technical discipline.
    • BS 10-12, MS 8-10, PhD 5-7
  • Ability to fully coordinate master project schedules.
  • Ability to coordinate information flow between all programs and organizational managers.
  • Ability to establish functional and technical specifications and standards, solve hardware and software interface problems, define input/output parameters, and ensure integration of the entire system or subsystem.
  • Provides a total systems perspective including a technical understanding of relationships, dependencies, and requirements of hardware and software components.
  • Demonstrated understanding of programmatic and engineering concepts.
  • Demonstrated experience developing and refining governance processes and procedures.
  • Demonstrated strategic thinking and ability to translate to implementation plans and strategies.
  • Demonstrated knowledge and experience in the domain of information management and records management.
  • Demonstrated ability to collect and analyze metrics to propose process improvements and inform decision making.
  • Proven ability to interact with customers, senior leadership, and program managers in a highly matrixed environment.
  • Demonstrated ability to work independently and in a team environment with a prior history of exhibited interpersonal skills, judgment, tact, and diplomacy.
  • Demonstrated organizational skills.
  • Microsoft Office expertise.
  • Demonstrated ability to develop briefings and other work products based on concepts.
  • Self-starter; able to identify and anticipate the needs of senior leaders.
  • Outstanding oral and written communication skills.
  • Experience with Adobe, WordPress, HIVE, SharePoint, Confluence, ServiceNow, Jira, or other project/information technology tracking and knowledge management tools.
  • Prior experience in the customer's domain-including enterprise IT and/or mission support.

  • Identifying measures or indicators of system performance and the actions needed to improve or correct performance, relative to the goals of the system.

  • Ability to coordinate with engineers, systems analysts, programmers, technicians, scientists and top-level managers in the design, testing, and evaluation of systems.
