Job Description
One Federal Solution (OFS) is seeking an Administrative Manager to support facility operations and administrative functions in Charleston, SC. The Administrative Manager will be responsible for coordinating service requests, managing maintenance tracking systems, and providing administrative and operational support to ensure efficient facility management and customer service.
Administrative Manager Key Responsibilities:
Answer and respond to service calls from building occupants
Enter and manage data within the computerized maintenance management system (CMMS), including service calls and work authorizations (RWA)
Dispatch technicians and coordinate maintenance activities within the facility
Coordinate with contractors performing work on-site
Track preventive maintenance schedules, work orders, and procurement activities (Ariba/purchase card reporting)
Conduct monthly safety briefings and assist with joint inspections alongside contractor management personnel
Provide administrative support, including tracking information, maintaining records, and preparing reports
Greet visitors and ensure proper coverage of the service call desk
Support overall facility operations to ensure timely and efficient service delivery
Administrative Manager Qualifications/Skills Required:
Minimum of five (5) years of specialized experience in areas such as organizational analysis, systems and procedures analysis, records management, space utilization, work measurement, cost-benefit analysis, budget analysis, or related efficiency and effectiveness studies
Bachelor’s degree in Business Administration, Public Administration, or a closely related field required
Experience developing project and program plans, goals, objectives, and milestones for complex programs or systems
Ability to assess project progress, conduct briefings, and prepare comprehensive reports with recommendations for senior management
Strong analytical, organizational, and problem-solving skills
Excellent customer service, written, and verbal communication skills
