II. Position Overview
The Senior Executive Support Specialist provides critical leadership support for the end-to-end management of executive council decision-making processes. This role serves as the procedural backbone for senior leadership forums by ensuring matters brought before the council are properly staffed, reviewed, documented, and advanced through a structured governance process.
The position is responsible for orchestrating the full meeting lifecycle, from topic intake and agenda development through final decision documentation and action tracking. A significant portion of this work involves the handling, coordination, and controlled dissemination of Top Secret/Sensitive Compartmented Information (TS/SCI) budget and decision-support materials. III. Key Responsibilities
Process and Lifecycle Management
• Orchestrate the master schedule for executive councils, boards, pre-briefs, and related governance sessions.
• Determine the need for and coordinate additional ad hoc meetings based on leadership priorities, emerging issues, or time-sensitive decisions.
• Serve as the central intake and gatekeeping function for all topics nominated for council review.
• Manage the topic submission process to ensure packages are complete, properly documented, and routed for required approvals before being placed on an agenda.
• Provide presenters, topic sponsors, and action officers with procedural guidance, expectations, and timeline requirements for successful participation in executive forums.
Content Curation and Quality Assurance
• Collaborate directly with presenters and sponsoring stakeholders to review, refine, and improve briefing materials intended for senior leadership review.
• Help ensure presentations are concise, logically structured, decision-oriented, and suitable for executive-level discussion and action.
• Compile, manage, and distribute meeting materials and read-ahead packets within required suspense timelines, including advance distribution standards such as 48-hour delivery windows.
• Maintain strict version control, confidentiality, and information integrity across all presentations, memorandums, and supporting documents.
• Handle, store, and transmit classified materials in accordance with TS/SCI security requirements and act as the release authority for external dissemination of sensitive materials when authorized by the Chairman.

• Attend executive councils, boards, and other formal sessions to record official proceedings and capture key decisions, actions, and outcomes.
• Prepare, distribute, and archive detailed meeting minutes documenting discussion points, action items, voting outcomes, and assigned responsibilities.

IV. Minimum Qualifications
Education
Bachelor’s degree in Business Administration, Public Administration, Management, Communications, Political Science, Organizational Leadership, Information Management, or a related field, or equivalent combination of education and professional experience.
Experience
• 10+ years of experience supporting executive operations, governance processes, board or council management, action staffing, program management, or other senior leadership support functions.
• Experience managing high-visibility meetings, decision forums, or executive-level processes in government, defense, intelligence, or similarly regulated environments.
• Experience preparing, reviewing, and coordinating briefing materials, executive correspondence, minutes, decision memorandums, or similar leadership support products.
• Experience handling classified or otherwise sensitive information in accordance with established security and records-management procedures.
• Experience working across diverse stakeholder groups, including senior executives, action officers, and operational support staff.
