Job Description
The Event Manager is responsible for planning, coordinating, and managing AAL events and special projects from concept through post-event follow-up. This role ensures events are strategically aligned, properly marketed, operationally coordinated, and executed in compliance with Army standards, OPSEC requirements, and Government approval processes.
This role serves as the end-to-end event planning lead, integrating campaign messaging, coordinating execution support, and ensuring events deliver measurable engagement outcomes aligned to AAL objectives.

Responsibilities
Event Planning and Lifecycle Management
- Plan and manage events and special projects from initial concept through execution and post-event assessment
- Define event objectives, target audiences, timelines, and success metrics in coordination with AAL stakeholders
- Develop integrated plans covering marketing, logistics, and stakeholder coordination
Event Marketing Integration
- Develop and execute event-specific marketing campaigns aligned with AAL's broader marketing strategy
- Coordinate messaging across pre-event, live event, and post-event phases
- Ensure consistent branding and communication across all event materials
- Work directly with:
- Marketing & Promotions Manager
- Content Development
- Digital Presence
Stakeholder Coordination and Communication
- Coordinate with internal AAL teams and external stakeholders to align expectations, messaging, and deliverables
- Manage communication across all parties to ensure awareness of timelines, roles, and responsibilities
- Support Government leadership with event-related briefings and updates
Operational Planning and Administrative Coordination
- Manage event schedules, planning timelines, and approval workflows
- Coordinate logistics planning (venues, materials, schedules, support requirements)
- Track deliverables and ensure all planning milestones are met
- Ensure readiness for transition to Event Execution Support team
Compliance and Quality Oversight
- Ensure all event materials and activities comply with:
- OPSEC requirements
- Army communication policies
- Government approval processes
- Conduct quality reviews of all event-related materials prior to release
Performance Monitoring and Post-Event Analysis
- Evaluate event effectiveness using defined success metrics
- Capture lessons learned and performance insights
- Provide recommendations to improve future event planning and execution
Performance Expectations (STD/AQL Alignment)
- Events aligned to AAL marketing strategy and objectives (Pass/Fail)
- Marketing campaigns executed across full event lifecycle (pre/during/post)
- All materials compliant with OPSEC and approval requirements
- Stakeholder coordination executed without breakdowns in communication
- Event deliverables completed on schedule and within defined timelines
- Post-event assessments completed with actionable insights
- This role is evaluated heavily on coordination quality and timeliness, not just output
Work Environment / Execution Context
- Primary place of performance is Austin, TX
- Current operations are being conducted remotely with COR approval; however, candidates must be prepared to work onsite at AAL offices in Austin, TX as mission requirements dictate
- Requires flexibility for event schedules, including surge periods and non-standard hours
- High interaction with Government stakeholders and external partners
Security / Compliance Requirements
- Adherence to OPSEC, PII, and Army communication policies
- Completion of required training (AT Level I, OPSEC, PII, IA as applicable)
- Ensure no unauthorized release of sensitive or pre-decisional information
- Maintain compliance across all event materials and communications
- Performs other related duties as assigned
Qualifications
- 5-8+ years of experience in event planning, program coordination, or communications
- Active Secret clearance.
- Experience managing multi-stakeholder events (government, industry, or innovation ecosystem preferred)
- Strong organizational and project management skills
- Experience coordinating logistics, vendors, and schedules
- Familiarity with Government approval processes and compliance environments preferred
- Bachelor's degree in event management, communications, marketing, or related field
