Job Description
The Event Coordinator provides hands-on execution support for AAL-hosted events by managing logistics, coordinating event activities, supporting marketing deliverables, and engaging directly with attendees to ensure successful event outcomes. This role operates under the Event Manager and is responsible for tactical execution, ensuring that all planned activities are delivered effectively during the event lifecycle.

Responsibilities
Event Logistics Execution
- Execute event logistics including:
- Setup and takedown
- Venue coordination
- Speaker coordination and support
- Ensure all logistical elements are delivered accurately and on schedule
On-Site Event Support
- Provide on-site support during events to ensure smooth execution
- Monitor event flow and resolve real-time issues
- Coordinate with team members to maintain synchronization across activities
Marketing and Communications Support
- Assist in creation and distribution of event-related marketing materials
- Support execution of marketing campaigns tied to events and special projects
- Ensure all materials are available and organized prior to event start
Attendee Engagement
- Engage directly with event attendees to:
- Provide information about AAL
- Answer questions
- Gather feedback and gauge response
- Support AAL outreach and stakeholder engagement objectives
Post-Event Reporting
- Develop and submit post-event reports summarizing:
- Attendee feedback
- Event execution outcomes
- Deliver reports within required timelines
Additional Task Support
- Execute additional marketing or event-related assignments as directed
- Support broader campaigns and communications activities tied to events
- Performs other related duties as assigned
Performance Expectations (STD/AQL Alignment)
- ≥95% of event logistics tasks completed accurately and on schedule (Pass/Fail)
- Marketing materials prepared and ready prior to event start (≥95% on-time readiness)
- ≥80% attendee engagement target (AQL: 90% engagement rate)
- Post-event reports delivered within 5 business days (Pass/Fail)
- Additional assignments completed on time and meeting quality standards (Pass/Fail)
Work Environment / Execution Context
- Primary place of performance is Austin, TX. Current operations are being conducted remotely with COR approval; however, candidates must be prepared to work onsite at AAL offices in Austin, TX as mission requirements dictate
- Work may occur outside standard business hours to support events
- Fast-paced, execution-focused environment with real-time problem solving
- Direct interaction with Government personnel, stakeholders, and external partners
Security / Compliance Requirements
- Adherence to OPSEC, PII, and Army communication policies
- Completion of required training (AT Level I, OPSEC, PII, IA as applicable)
- Ensure all interactions and materials comply with Government standards
- Proper identification as contractor personnel in all engagements
Qualifications
- 2-5+ years of experience in event coordination, logistics, or operations support
- Active Secret clearance required
- Experience supporting live events, conferences, or stakeholder engagements
- Strong organizational and multitasking skills
- Ability to operate in fast-paced, real-time environments
- Strong communication and interpersonal skills
- Bachelor's degree (or equivalent experience) in communications, event management, or related field
