Job Responsibilities
Trace Systems is seeking an energetic and engaged professional to join our Human Resources team. The HR Administrator will support the Human Resources function by executing accurate, timely, and compliant HR operations that enable effective hiring, onboarding, employee support, and record management-ensuring a smooth employee experience and organizational compliance.
Essential duties and responsibilities:
- Maintain accurate employee records in HRIS and financial system to ensure compliance, reporting accuracy, and audit readiness.
- Execute onboarding and offboarding processes to deliver a consistent, compliant, and positive employee experience.
- Respond to HR inquiries from employees and supervisors, escalating complex or sensitive matters as appropriate.
- Ensure HR documentation is current, organized, and compliant with company policies and regulatory requirements.
- Provide benefits support in answering benefits inquiries, coordinating leave-of-absence requests, and assisting with enrollment and eligibility.
- Support workers' compensation processes, including claim filing, audits, and renewals.
- Prepare and deliver HR reports and analyses that meet departmental and business needs, supporting informed decision-making.
- Support compliance activities (e.g. I-9s, audits, ISO, CMMI) and contribute to continuous improvement efforts.
- Serve as the point of contact for investigators requesting personnel file reviews.
- Schedule and participate in new hire orientation.
- Perform routine HR administrative, including but not limited to processing transfers, promotions, status changes, and internal audits.
- Serve as HR Liaison on the Employee Engagement team and assist with coordinating volunteer functions and events, to engage and build community within the company culture.
- Maintain knowledge of federal, state, and local employment laws, and recommended best practices.
- Other duties as assigned.
Minimum Qualifications
- Due to the nature of the work and contract requirements, US citizenship is required.
- 1+ year of experience in HR, administrative, or operations support roles with responsibility for handling sensitive information.
- Strong attention to detail with proven ability to maintain accurate records and documentation.
- Demonstrated ability to prioritize and manage multiple tasks and deadlines while remaining flexible, organized, and resourceful in a fast-paced, process-driven environment.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
Desired Qualification
- Experience using a Human Resource Information System (HRIS).
- Exposure to benefits administration.
- Basic understanding of employment laws and HR compliance requirements.
- Experience in government contracting, preferably supporting a global workforce.
- Professional HR Certification (PHR, or SHRM- CP).
Education
- Associate's degree OR equivalent experience (2 years HR/admin) is required.
- Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
