Ataero is seeking an Administrative Assistant to provide day-to-day administrative support within a Department of Defense (DoD) Joint Program Office environment supporting an aviation program.
This role requires a reliable and detail-oriented professional capable of supporting office operations, coordinating activities, and assisting leadership and staff in a fast-paced environment.

Position Summary:
Ataero is seeking an Administrative Assistant to provide day-to-day administrative support within a Department of Defense (DoD) Joint Program Office environment supporting an aviation program.
This role requires a reliable and detail-oriented professional capable of supporting office operations, coordinating activities, and assisting leadership and staff in a fast-paced environment.
Key Responsibilities:
- Manage calendars, schedule meetings, and coordinate appointments using Microsoft Outlook
- Support meeting coordination including conference room scheduling and VTC setup
- Prepare and format documents, reports, and basic briefing materials
- Assist with tracking taskers, suspense dates, and action items
- Maintain organized electronic and hard copy filing systems
- Draft and edit routine correspondence and administrative documents
- Support onboarding activities and administrative processing for personnel
- Coordinate office logistics including supplies, visitor access, and general support
Additional Duties:
- Interface with internal team members and government personnel as needed
- Support task management systems (e.g., ETMS2 or similar) at a basic level
- Assist with Defense Travel System (DTS) actions including travel coordination and vouchers
- Provide general administrative support for meetings, events, and office operations
- Assist with maintaining workflow processes and improving administrative efficiency
Minimum Qualifications:
- High school diploma required; associate or bachelor's degree preferred
- 1-3+ years of administrative or office support experience (DoD environment preferred)
- Basic understanding of administrative processes in a professional office setting
- Ability to obtain and maintain a Secret security clearance (or active clearance preferred)
Required Skills & Competencies:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time-management skills
- Effective written and verbal communication skills
- Ability to multitask and prioritize in a fast-paced environment
- Attention to detail and ability to handle sensitive information
Preferred Qualifications:
- Experience supporting DoD or federal programs
- Familiarity with ETMS2 or similar task management systems
- Experience with DTS and travel coordination
- Experience supporting teams in a structured or headquarters environment
