Job Description

Employment in this role is conditional upon successful execution of the contract by the client.

The Work

The Administrative Assistant provides essential administrative and clerical support to ensure the efficient operation of the office or department. This role requires excellent organizational skills, outstanding interpersonal communication, and the ability to handle confidential and time-sensitive information. The Administrative Assistant supports daily office activities, assists with document preparation, and maintains office records in accordance with company policies and procedures.

Responsibilities

Key Responsibilities
  • Compile office supply requests from subordinate sections and maintain the status of supply orders.
  • Manage select staff members' calendars, schedule appointments, and coordinate arrangements for conferences, travel, hotel, and rental car accommodations using the Defense Travel System.
  • Perform general office clerical duties specific to Soldier and Family Readiness Program requirements in accordance with applicable regulations and policies.
  • Execute word processing functions, type forms, maintain filing systems, and organize office documents.
  • Prepare or assist with preparation of correspondence, newsletters, flyers, rosters, reports, and requests, transitioning materials from draft to final format for signature and distribution.
  • Assure proper safekeeping, storage, and destruction of Soldier and Family Readiness records, official Army regulations and policies, and other computer output in line with compliance protocols.
  • Monitor suspense dates and process correspondence through appropriate channels to support timely action and accurate response tracking.
  • Support the establishment and maintenance of the unit's Virtual Soldier & Family Readiness Group (VFRG) presence and Army-related websites, as directed by command.
  • Assist in coordinating, reviewing, and maintaining records of brigade and/or battalion Soldier and Family Readiness inspection programs, reporting findings to command leadership.
  • Review past allocations and use of appropriated funds for Soldier and Family Readiness programs, and recommend utilization strategies based on gathered information and historical data.
  • Maintain regular telephonic and electronic contact with SFRG leaders, RDCs, and ACS/Family Programs staff to facilitate up-to-date sharing of information regarding Soldier and Family Readiness activities and issues.
  • Attend Soldier and Family Readiness Group (SFRG) and steering committee meetings as requested.
  • Other duties as assigned.


Qualifications

  • Bachelor's degree preferred; or a minimum of 5 years of commensurate administrative experience.
  • Direct experience performing clerical and administrative duties in support of Soldier and Family Readiness initiatives, including frequent collaboration with unit leadership and community-based support organizations.
  • Excellent proofreading and attention to detail skills.
  • Strong data entry and database management abilities.
  • Demonstrated skill in interpreting policy and regulatory guidance.
  • Superior customer service and interpersonal communication skills.
  • Proficient typing skills (minimum of 45 words per minute).
  • Advanced proficiency with Microsoft Office applications (including Office 13 products).
  • Knowledge of operating office equipment (print, scan, fax).
  • Comprehensive knowledge of Army Family Readiness Programs and related resources
  • Top Secret Clearance is required.
  • Due to the nature of work at the client's facility, U.S. Citizenship is required.
  • Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.

Working Conditions
  • Professional office environment, with the ability to work onsite in the main office.
  • Must be physically and mentally able to perform duties extended periods of time.
  • Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position.
  • Must be able to establish a productive and professional workspace.
  • Must be able to sit for long periods of time looking at computer screen.
  • May be asked to work a flexible schedule which may include holidays.
  • May be asked to travel for business or professional development purposes.
  • May be asked to work hours outside of normal business hours.
