Ataero is seeking Executive Administrative Assistants to provide high-level administrative support to senior Department of Defense (DoD/DoW) leadership within a large Joint Program Office environment supporting an aviation program.
This role requires professionals capable of operating in a fast-paced, high-visibility headquarters environment , supporting Senior Executive Service (SES), Flag Officers, and senior program leadership.

Position Summary:
Ataero is seeking Executive Administrative Assistants to provide high-level administrative support to senior Department of Defense (DoD/DoW) leadership within a large Joint Program Office environment supporting an aviation program.
This role requires professionals capable of operating in a fast-paced, high-visibility headquarters environment , supporting Senior Executive Service (SES), Flag Officers, and senior program leadership.
Key Responsibilities:
- Manage complex executive calendars and scheduling using Microsoft Outlook
- Coordinate high-level meetings, Video Teleconferences (VTCs), and leadership engagements
- Prepare and deliver:
- Briefing materials
- Read-ahead packages
- Executive correspondence
- Track, manage, and assign taskings using ETMS2 or similar task management systems
- Maintain situational awareness of leadership priorities, suspense actions, and deadlines
- Draft, review, and route official correspondence for senior leader signature
- Coordinate Distinguished Visitor (DV) visits and executive engagements
- Prepare weekly status updates and leadership reports
- Ensure all products meet DoD standards for format, quality, and accuracy
Additional Duties:
- Interface daily with senior military officers, SES, and government stakeholders
- Maintain workflow/tasker systems and organizational priorities
- Support Defense Travel System (DTS) actions including travel coordination and vouchers
- Assist with meeting logistics, conference room scheduling, and secure communications
- Support continuous process improvement initiatives within the organization
Minimum Qualifications:
- Bachelor's degree in a relevant field
(Associate's degree + additional relevant experience may be considered in lieu of a Bachelor's degree) - 3+ years of experience supporting DoD or military headquarters environments
- Strong understanding of DoD administrative processes and protocols
- Active Secret security clearance
Required Skills & Competencies:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint)
- Strong written and verbal communication skills
- Ability to work independently in a fast-paced, high-demand environment
- Exceptional organizational and multitasking ability
- Experience handling sensitive and/or classified information
Preferred Qualifications:
- 5+ years of experience supporting senior military or civilian leadership
- Experience supporting SES or Flag Officers
- Familiarity with ETMS2 or similar task management systems
- Experience with DTS and DoD travel processes
