Job Description

The Alaka`ina Foundation Family of Companies (FOCs) is looking for a General Clerk to support our government customer located in Kihei, Hawai'i .

The individual in this role will be an integral part of our administrative team, contributing to the efficiency and success of our projects. The role involves a diverse range of responsibilities, including completing Visitor Notification Forms (VNF), supporting the onboarding process for new employees, handling reimbursements, travel request, delivering mail and assisting the management team their day-to-day activities.

DESCRIPTION OF RESPONSIBILITIES:
  • Efficiently complete and process VNFs (Visitor Notification Forms), ensuring compliance with security protocols and DOD requirements.
  • Facilitate the onboarding process for new employees by assisting with paperwork, orientation, and ensuring a smooth transition into the team.
  • Provide comprehensive administrative support to program management, including scheduling, document preparation, and coordination of tasks.
  • Maintain organized and up-to-date project-related documents, ensuring accuracy and accessibility for team members.
  • Act as a point of contact for internal and external communications, ensuring timely and accurate dissemination of information.
  • Assist in scheduling and preparing materials for meetings, collaborating with team members and external stakeholders as needed.
  • Establish and maintain an effective filing system for electronic and physical records, ensuring confidentiality and compliance.
  • Accurately input and update information in databases, tracking systems, and spreadsheets.
  • Monitor and replenish office supplies, keeping an inventory to support daily operations.
  • Contribute to special projects and assignments, providing support as directed by management.
  • Maintain a company credit for the purchasing of supplies.
  • Support staff and management team with filing receipts for reimbursements and booking travel per the site and company policy.
  • Manage incoming and outgoing mail at the 550 building location, including packaging items as needed and coordinating with relevant courier services.
  • Maintain a safe work environment.
  • Other duties as assigned by Supervisor.

Environmental Factors: Works in indoor professional office setting. Occasionally will be asked to work at over 10,000ft elevation.

Physical Effort: Occasionally lifts mail packages weighing up to fifty (50) pounds. Standing, sitting, stooping, bending, kneeling, climbing, and stretching for prolonged periods will be necessary.

REQUIRED DEGREE/EDUCATION/CERTIFICATION:
  • High school diploma or equivalent
  • Valid state driver's license with an acceptable driving record.

REQUIRED SKILLS AND EXPERIENCE:
  • Two (2) years' experience as a general clerk or admin assistant, particularly in a DOD contracting environment, is an advantage
  • Ability to use Microsoft (MS) Word, PowerPoint, Excel, Outlook, and MS Teams at a proficient level.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills.
  • Ability to handle confidential information with discretion.
  • Mindful to meet deadlines.
  • Ability to write daily correspondence to the government customer.
  • Ability to understand and follow directions.
  • Ability to communicate effectively orally and in writing, as well as present training to small groups of new employees.

DESIRED SKILLS AND EXPERIENCE:
  • U.S. Military experience preferred.
  • Familiarity with DOD regulations and procedures.

REQUIRED CITIZENSHIP AND CLEARANCE:
  • Must be a U.S. Citizen
  • Must have the ability to obtain and maintain an active Secret Clearance.
