- Managing or assisting in managing the administrative workflow and day-to day activities of a work unit.
- Maintaining schedule of appointments and monitoring email and telephone for a manager or other officers in work unit.
- Coordinating and/or assisting with planning, scheduling, organizing, and executing meetings, conferences, and off-sites; may participate in meetings and events, serving as a recorder; may brief or present administrative support related information. With guidance from the customer, representing work unit at meetings and in Agency working groups.
- Proofreading and editing office correspondence; drafting routine, standard documents.
- Coordinating or assisting with office move activities, construction, or renovation projects within work unit.
- Coordinating the administrative schedule with customer POC.
- Performing back-up duties for other offices within the work unit to ensure administrative support coverage.
- Maintaining and archiving office files.
- Maintaining and organizing relevant reference materials and working files for easy retrieval.
- Initiating and monitoring check-in/out procedures for personnel, including submitting new user accounts and access requests.
- Greeting and/or escorting all office visitors.
- Serving as time and attendance recorder and/or administrator.
- Learning trouble-shooting techniques and procedures.
- Administering and troubleshooting other databases; updating websites/SharePoint sites; running reports; performing database clean up tasks.
- Arranging travel and coordinating itineraries, including passport/visa/cover requirements.
- Creating and submitting travel, training, and POV vouchers.
- Ordering supplies, maintaining inventory, issuing equipment, providing basic trouble-shooting and arranging for equipment repairs, and overseeing and accounting for inventory.
- Opening, sorting, and distributing incoming mail, newspapers, faxes, or other documents.
- Tracking and monitoring status of incoming and outgoing cable traffic.
- Passing and receiving clearances; preparing visitor requests and accessing lists as necessary; serving as vault custodian.
- Planning, organizing, scheduling, and/or executing routine or transactional steps in a process; initiating requests for needed reports.
- Preparing, tracking, and analyzing statistics or metrics related to supported process or program.
- Maintaining and updating assignment-specific databases or spreadsheets.
- Preparing and briefing status reports.
- Researching, retrieving, and analyzing data and information from multiple sources.
- With customer guidance, interpreting and taking action consistent with established policies and regulations.
- Creating, delivering, or participating in assignment-specific briefings to various audiences.
- Reviewing, editing, or drafting original written products.
- Monitoring spend plans or budget execution rates related to project.
- Reviewing all process/program documentation for accuracy and completeness.
- Adhering to Agency/Intelligence Community (IC) regulations, policies, and procedures to ensure all activities are in compliance.
- Seeking customer guidance on acceptable deviations and adapting activities as appropriate.
- Independently troubleshooting and quality checking work to ensure quality of products or services.
- Analyzing workflow of activities; recommending changes to improve efficiency and effectiveness.
