Job Summary:

The Executive Office Manager is a trusted partner to the CEO and a central leader of the organization's administrative and office operations. This role is responsible for ensuring the smooth, professional, and efficient functioning of the Springfield, VA headquarters while providing high-level executive support that enables leadership focus and effectiveness. Serving as both the primary point of contact for the office and a key liaison to internal and external stakeholders, the Executive Office Manager proactively manages executive priorities, coordinates cross-functional initiatives, and oversees day-to-day office operations with discretion and precision. The ideal candidate is highly organized, anticipates needs, thrives in a fast-paced environment, and brings a service-oriented mindset combined with strong operational judgment.

Key Responsibilities:

Executive Support (CEO)
  • Proactively manage the CEO's complex calendar, prioritizing high-stakes meetings and resolving scheduling conflicts.
  • Draft, edit, and prepare executive communications, presentations (PowerPoint), and briefing materials.
  • Coordinate domestic and international travel, including detailed itineraries and expense reporting.
  • Handle highly confidential matters with discretion and professionalism.
  • Serve as a trusted liaison between the CEO and internal and external stakeholders.

Office Operations & Management
  • Oversee daily office and facility operations to ensure a professional, organized, and welcoming environment.
  • Manage relationships with office vendors and service providers, including building management.
  • Coordinate mail distribution and ensure timely notification to departments and individuals.
  • Answer and route incoming phone calls and corporate inquiry emails appropriately.
  • Maintain office supply inventory and place orders as needed.
  • Identify and implement improvements to administrative and operational processes.

Event Planning & Meeting Setup
  • Manage all logistics for on-site meetings, including room setup, audio-visual coordination, supplies, visitor access, and catering.
  • Lead the planning and execution of internal and external events such as leadership meetings, celebrations, and team-building activities.


Requirements

The Executive Office Manager role requires:
  • Minimum of 5 years of experience in office management and executive-level administrative support within a fast-paced, growth-oriented environment.
  • Proven ability to serve as a proactive, trusted partner to senior leadership, anticipating needs and managing complexity to ensure seamless executive and office operations. High level of discretion and sound judgment in handling sensitive and confidential information.
  • Exceptional organizational skills with the ability to prioritize multiple tasks, manage competing deadlines, and maintain high standards of accuracy and professionalism.
  • Strong written and verbal communication skills, with the ability to interact effectively with executives, employees, vendors, and external stakeholders.
  • Demonstrated experience coordinating and supporting multiple projects simultaneously, including tracking timelines, managing deliverables, and following up with stakeholders.
  • Advanced proficiency with Microsoft Office Suite, including Word, PowerPoint, Excel, SharePoint, Teams, and Outlook.
  • Bachelor's degree in business administration or a related field preferred.
