Executive Administrator (Military)
Contract to Hire
Active Secret Clearance upgradable to Top Secret Required
Work location onsite in Arlington, VA
Hourly Rate: $65/hr. W2. Benefits available
Conversion Salary: $130,000 annually, plus benefits
System One IT is seeking a highly motivated, self-directed individual to fill the role of an Executive Administrator (Military) for a government end-client. The selected individual has previous military experience and will join a collaborative team environment where they will provide support and expertise toward the successful delivery of the project deliverables. Key to the success of this position is effective communication with all levels of staff.
This individual will provide comprehensive support to top executives, often managing multiple priorities and confidential matters. They oversee complex scheduling, coordinate high-level meetings, and handle sensitive communications. This individual may be required to manage special projects and may supervise functions performed by other administrative staff. They play a critical role in ensuring the executive's effectiveness and organizational success. This senior-level administrative position requires extensive experience, discretion, and leadership skills.
The place of performance for this contract is in Arlington, VA.
Responsibilities:
• Assist Senior Leadership with various projects and meetings. Contractor will lead and coordinate Task Management Tool (TMT) meetings with the workflow managers and TMT action officers, reporting status to senior leadership.
• Develop a Knowledge Management Plan
• Manage the Knowledge Management Program
• Knowledge Management (content management across Microsoft 365, including SharePoint and Teams; support for developing knowledge management plans)
• Work with ETMS2 / TMT workflow management
• Manage the SharePoint site and provide updates and revisions as required or directed by Senior Leadership, with COR guidance and approval.
• Support, coordinate, create, and facilitate the following activities for leadership:
o Calendar management
o Travel arrangements
o Event/meeting logistics
o Vendor engagements
o Technical meetings
o Presentation material, reports, etc.
• Staff onboarding/offboarding processes
• Provide clerical duties.
• Coordinate and attend monthly meetings, providing executive summaries.
• Assist the Director’s military executive officer at the Pentagon as required
Qualifications:
• Bachelor's degree or higher in a related discipline, MBA a plus
• Experience briefing senior leadership at the General Officer, Flag Officer, or Senior Executive Service level
• Minimum 5 years of experience supporting project management.
• Minimum 3 years of experience supporting SharePoint
• Minimum 3 years of experience supporting knowledge management
• Experience with ETMS2 / TMT workflow management or similar products (Highly Desired)
• Ability to explain complicated concepts in simple terms
• Experience with Military Decision-Making Process (MDMP) (Preferred)
• Project Management training/certification (Preferred)
• Excellent attention to detail
• Multitasking ability
• Strong organizational and analytical skills
• Ability to work well under pressure
• Must have strong written and verbal communications
• Able to develop strong client relationships
• Able to work independently, with little to no oversight, as well as in a team environment
• Proficient in Outlook, Excel, Visio, and other Windows-based programs
• Self-motivated, detail-oriented, and organized
