Job Description

1. Manage all actions within the Task Management System and document staffing systems.

2. Perform staff operations in a government organization.

3. Conduct program analysis of supported programs, including the development and tracking of cost, schedule, risk, and technical parameters, metrics, and measures.

4. Plan, organize, and develop program management techniques and internal controls to manage acquisition programs and support functions.

5. Evaluate the plans for future major milestones, including recommending strategies, reviewing schedules, identifying issues, and recommending actions.

6. Recommend strategies, review schedules, identify issues, and recommend actions to meet program milestones.

7. Facilitate efficient communication and program support between the program office and external agencies.

8. Update tracking and reporting systems/applications for risk and program scheduling.

9. Independently evaluate portfolio/program goals and objectives, adjusting or redefining broad objectives periodically and meeting regularly with members of both Government and Industry to discuss problems with programs.

10. Review and assess technical, cost, and schedule data, identifying any shortfalls and developing potential corrective actions.

11. Independently manage, synchronize, and track multiple, complex, and cross-functional actions.

12. Ensure that line and staff organizations are aware of deadlines, assignments, and objectives.

13. Assist in developing, documenting, and maintaining processes for managing taskers, staff actions, planning calendars, and other functions.

14. Perform activities to collect, migrate, archive, and maintain electronic program files in appropriate SharePoint/Teams/EDMS locations.

15. Perform planning by preparing, reviewing, and updating technical briefing materials, documentation, and program schedules; and developing and implementing technical and programmatic plans and measures to track programs.

16. Assist in identifying, assessing, developing, and mitigating program risk.

17. Draft, review, staff, file, and update a variety of documents, including acquisition documentation, memorandums, information and issue papers, briefings, executive summaries, milestone review packages, e‑mails, and meeting minutes. When applicable, documents must be prepared IAW DoD policies and be sufficiently complete, accurate, and timely to establish program goals and objectives.

18. Perform the coordination of both internal and external conferences, meetings, and reviews for relevant stakeholders, ensuring that locations, phone, and video teleconference lines are properly booked; scheduling speakers; developing and providing meeting materials (e.g., schedules, agendas, presentations, displays); and tracking action items as needed. Support each event in person and/or via teleconference, video teleconference, and web conference. Develop meeting minutes and/or an executive summary for each meeting conducted.

19. Participate in IPRs, milestone decision reviews, IPTs, and other recurring meetings (daily, weekly, monthly), and provide follow‑up information to leadership in the form of meeting minutes, executive summaries, SITREPs, position papers, white papers, and/or briefings.

20. Develop, review, and provide input to acquisition documentation in support of program milestone decisions and IPRs to ensure completeness and consistency and to recommend changes.

21. Attend and provide support at meetings, events, and reviews for relevant stakeholders in person and/or via teleconference, video teleconference, and/or web conference. Prepare meeting minutes, white papers, and briefings as needed to provide leadership with a recap.

22. Participate in daily, weekly, and monthly meetings where data exchanges are discussed and provide regular follow‑up briefings to leadership.

23. Assist the program office in management of WIPTs, including leading agenda preparation, facilitating meetings, preparing meeting minutes, and tracking action items.

24. Communicate programmatic issues, concerns, and information to leadership.

25. Assist in the development and/or update of top‑level briefings for public presentation at various conferences and events.

26. Meet assigned deadlines.

27. Prepare, provide input into, and review briefings, information papers, executive summaries, emails, white papers, memoranda, and memoranda of understanding/agreements.

28. Update tracking and reporting systems/applications for risk and program scheduling.

29. Assist in developing, documenting, and maintaining processes for managing taskers, staff actions, planning calendars, setting up/coordinating meetings, and other operations functions.

30. Respond to all CONUS and OCONUS travel requests, coordinating travel arrangements using DTS (developing travel orders, travel vouchers, and required OCONUS paperwork) and creating plans for transportation and accommodations.

31. Attend meetings or discussions in person and be able to respond on‑site within two hours after notification and remain for the duration, as directed

Qualifications

  • Lossess 5 years of experience in project management, engineering management, DoD acquisition, or another related subject of comparable complexity and responsibility.
  • Possess 2 years of experience supporting medical countermeasure development.
  • Have 2 years of experience supporting medical countermeasure development using AI/ML.
  • Have 2 years of experience supporting medical countermeasure database development.
  • Possess 5+ years of experience with data systems including, but not limited to, SAIS, DSTS, DTS, and EDMS.
