Job Description

Responsibilities

Sabre Systems is seeking a highly organized and detail-driven Proposal Support Analyst to join our proposal development team. In this role, you will play a hands-on part in supporting federal government proposal efforts across the full lifecycle, from early planning and coordination through final submission. Working alongside Proposal Managers, Subject Matter Experts, Technical Writers, and subcontractor partners, you will help ensure our proposals are compliant, polished, and delivered on time. This is a hybrid position requiring local presence in the Patuxent River Naval Air Station area with an expectation of working in the office approximately three days per week.

Key Responsibilities:

Proposal Planning and Coordination:
  • Support multiple concurrent proposal efforts across all phases of the proposal lifecycle, including pre-RFP planning, RFP release, proposal development, and final submission
  • Manage data calls across internal teams and external subcontractor/teaming partners, including issuance, tracking, follow-up, and ensuring completeness of all responses
  • Develop and maintain proposal schedules, action item trackers, compliance matrices, and deliverable checklists
  • Track assignments, deadlines, and dependencies; proactively follow up to ensure timely completion and flag risks or gaps to the appropriate team members
  • Support proposal kickoff meetings, daily status calls, color team reviews, and other proposal-related meetings; assist with facilitation and documentation as needed

Compliance and Quality:
  • Support RFP reviews and assist with the development of compliance matrices aligned to evaluation criteria in Sections L and M
  • Assist with compliance checks across proposal volumes to ensure all solicitation requirements are addressed
  • Support adherence to corporate branding, formatting, and quality standards throughout the development process

Editing Support:
  • Support the development of proposal content including executive summaries, transition plans, management plans, and contributor resumes
  • Assist with creating templates, document formatting, proofreading, and integration of inputs across proposal volumes to produce cohesive, professional deliverables
  • Review and refine RFI responses, white papers, and other proposal-related documents as needed

Proposal Production and Submission:
  • Manage proposal artifacts and maintain proper version control within SharePoint and other proposal repositories
  • Support final production activities including file organization, naming conventions, and preparation of submission packages

Content Library and Knowledge Management:
  • Organize and maintain the internal proposal content library, including past performance summaries, proposal resumes, executive summaries, transition plans, management plans, and technical content
  • Collaborate with Subject Matter Experts, Strategic Advisors, and Proposal Managers to ensure library content is regularly reviewed and kept current
  • Partner with the Marketing team to support marketing materials and website content as needed
  • Support continuous improvement of proposal processes, tools, and templates; assist with lessons learned documentation and post-submittal hot wash sessions

Qualifications

Requirements:
  • High school diploma required; some college preferred
  • Minimum of three years of administrative or proposal support experience, ideally within a government contracting environment
  • Demonstrate resourcefulness and critical thinking skills to independently assess challenges, evaluate options, and drive toward solutions in a fast-paced proposal environment
  • Excellent written and verbal communication skills, with strong editing, proofreading, and attention to detail
  • Demonstrated ability to manage multiple priorities in a fast-paced environment with strict deadlines; must be able to work some evenings and weekends during peak proposal periods
  • Proficiency with SharePoint or similar document management platforms; familiarity with proposal development tools is a plus
  • Dependable, flexible, and professional, with the ability to work effectively across all levels of an organization - from executive leadership to technical subject matter experts and external partners
  • Solid understanding of federal proposal processes, RFP structures, and government contracting fundamentals is a plus
  • Collaborative team player with a service-oriented mindset and a commitment to quality
  • An active DoD Secret Clearance or higher is required.
  • Must be a U.S. Citizen

Compensation Statement

At Sabre Systems, LLC, compensation is based on factors such as location, qualifications, experience, and contract-specific requirements; however, final compensation will be determined by individual qualifications and applicable contract terms. The general salary range for this position is as follows: $70,000.00 - $90,000.00
