Duties
Help
  • Receives and responds to unclear inquiries from patients concerning a variety of medical personnel and administrative matters, determines general nature of inquiry and independently responds to all administrative questions.
  • Refers medical questions concerning patients' conditions, progress or treatment to physician or nurse.
  • Responsible for collecting and compiling statistical data on a daily and monthly basis for the completion of the Monthly Morbidity and other clinic-related reports.
  • Completes end of day processing by typing data into the Electronic Medical Record, and other required electronic trackers and/or reports.
  • Acts as the information receptionist for the clinic. Answers the telephone and receives patients/family members/visitors in the clinic spaces.
  • Performs routine patient check-in/checkout procedures using the Electronic Medical Record: performs Defense Enrollment Eligibility System (DEERS) verification as needed and refers ineligible patients appropriately.
  • Schedules/makes computerized patients' appointments using specific scheduling guidelines
  • Monitors email systems, and clinical master calendar for updates and changes to clinic appointments scheduled are completed, confirms changes by telephonic or personal communication with physician and patient
  • Reviews referrals in MHS GENESIS and accepts and appoints referrals after consulting with physician(s), or nurse. Establishes and maintains approved clinician' monthly clinical template schedules into Electronic Medical Record system.
  • Reviews patients' record for completion of information, assembles medical information according to prescribed sequential order, checks progress notes and doctor's order sheets for required signatures before initiating clearance of records.
  • Records telephone messages pertaining to such things as detailed laboratory reports, X-ray and test results.
  • Takes appropriate measures to ensure patient/family members/visitor confidentiality and privacy during interactions.
  • Enters administrative data in electronic health record, maintain patient logs, and prepare encounter forms for billing purposes. Assists in patient transfers to ED, wards or other facilities by processing relevant information.
  • Assists in the orientation of new staff members to the clinic
  • Prepares correspondence, messages, and various other clinic-specific reports using computer systems.
  • Performs other administrative, clerical, and record-keeping tasks related to patient visits to facilitate efficiency of care using clinic-specific guidelines.

  • Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
  • Hepatitis B: Immunization screening is required. Hepatitis B immunization is required for all positions with direct patient contact. Applicants may be required to show proof of other immunizations depending on the type of position.
  • Influenza: This position has mandatory seasonal Influenza vaccination requirements and is subject to annual seasonal Influenza vaccinations unless otherwise exempted for medical or religious reasons.
  • Tuberculosis (TB): This position requires the incumbent to have Tuberculosis testing.
  • This position is designated Tier 3, Non-Critical Sensitive, Moderate Risk and requires the incumbent to obtain and maintain a Secret Security Clearance Level as a condition of employment.
  • This position is designated "Mission Essential." In the event off severe weather conditions or other such emergency type situations the incumbent is required to report to work or remain at work as scheduled to support mission operations.

In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. General Experience: One year of general experience. General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled, such as, scheduling patient appointments, receiving and screening visitors, or using a personal computer to input data.

OR

Education: Two years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.

OR

Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of by 60. Add the two percentages.
